Overview

To efficiently allocate tasks and staff projects, set up a workload chart for your team. This allows you to easily assign unallocated tasks to the most suitable team members. Ensure that you configure the backlog box to hold tasks awaiting allocation on the workload chart. Additionally, to find the most relevant assignee for your work items or to focus on a specific function or skill, you can filter people by custom fields or use assignee recommendations in the workload chart.

Assignee Recommendations in Workload Charts

You can assign any task to the most suitable member of your team:

  1. From your Workload chart, click Backlog Box in the upper right corner of the workload chart 1.

  2. Expand the unassigned work or a job role in the Backlog Box to see the incoming tasks 2.

  3. Click on a task to open the tooltip 3. The task must include assignee requirements for the assignee requirements section to appear in the task tooltip.

  4. Click the Show recommended button to automatically add all assignee requirements as filters in your Workload chart 4.

  5. Once filters are added, you'll see the best candidates for the task in your Workload chart based on matching field values in their user profiles 5.

  6. Based on their capacity and availability, assign tasks by clicking and dragging them from Backlog Box to the workload chart.

Filtering by User Attributes in Workload Chart

You can filter users by custom field values to find specific user attributes or see who matches assignee requirements.

  1. Go to the Filter users by option and choose Custom fields 1.

  2. In the popup, click + Custom field to see the list of custom fields in user profiles 2.

  3. Click on the custom field you’d like to add as a filter 3.

  4. Select specific field values to filter by users attributes and see who has matching values in their user profiles 4.

  5. When you filter users by fields, tasks in the backlog box are also filtered by the same fields. This makes it easier to schedule work from the backlog. If needed, you can clear this filter in the backlog using the Clear 2 assignee requirement blue button 5.

  6. Assign tasks by clicking and dragging them from Backlog Box to the workload chart 6.

Filtering by Skills Level in Workload Chart

This is an experimental feature released in Wrike Labs. It is subject to change and may not be available to all users.

In Workload charts, you have the option to filter or group your team by Skill Level fields. This allows you to easily identify which team members possess specific skills and assess their proficiency levels at a glance. By leveraging this feature, you can efficiently allocate tasks based on expertise, ensure balanced workload distribution, and quickly spot skill gaps that might need addressing through training or hiring. This targeted approach helps optimize team performance and project outcomes.

To filter assignees by Skill level, follow these steps:

  1. Go to Filters by values in user profiles 1 located under All fields in profiles.

  2. Click the + Custom field 2 button.

  3. Choose the relevant Skills level 3 custom field, such as Language skills.

  4. Select the specific skill 4 you wish to filter by (for example: English, French, German, etc.).

  5. Choose the desired proficiency 5 level (Beginner, Intermediate, Advanced, or Native) for the selected skill.

  6. Once you select both the skill and proficiency level, your workload chart will automatically display only those people whose profiles match your criteria 6.

    Note

    This new field type is only applicable to skills and can be created solely for users—it cannot be set up as a skill level custom field for tasks or projects. However, once created for people, it can be used in tasks and projects if the Use as assignee requirement checkbox is enabled.

    Current limitations: While in Labs, the new Skill Level field is not yet supported in the new Dashboards, public API, or mobile apps.
