Overview

Adding custom fields with user attributes helps identify the right person in the assignee picker. By adding these field values to work items, you can specify the necessary attributes to choose the best assignee. You can add custom field values for users using one of these methods:

User attributes in users settings

You can add specific attributes and skills to user profiles by filling in custom field values. To add custom field values for individual users, click on the cells that correspond to each user in the Users table.

User Attributes and Mass Actions

You can update attributes and skills for many users at once using mass actions.

To update custom field values for multiple users:

  1. Navigate to the Users section of Account management settings 1.

  2. Select the specific users for whom you wish to modify custom field values 2.

  3. Go to the Mass Actions menu on the right side and click on the Update user custom fields menu 3.

  4. From the pop-up window, click on the Select user custom field button 4.

  5. Choose the custom fields you’d like to update for the selected users 5.

  6. Choose your custom field values and click Update 6.

Note

Leaving fields empty will erase existing information.

Importing User Attributes from Excel

You can add specific attributes and skills to existing custom fields by uploading an Excel file. Use our template or update an existing file to match our formatting.

Note

You can only update values for existing custom fields, but you can’t create new custom fields or add new users to your account by importing data from Excel.

To import values for custom fields:

  1. Navigate to the Users Interface under Account Management and click the three-dot menu in the header 1.

  2. From the menu that appears, select Import from Excel 2.

  3. In the pop-up dialog, click Choose a File to upload your desired values for the custom fields, or simply drag and drop the file into the dialog box 3.

User Attributes in Your Own Profile

To add skills and attributes to custom fields in your own profile, you need to have the Manage their own custom fields permission granted in user types settings. If you don’t have this permission granted, you’ll be able to see but not edit custom fields in your own profile that are shared with your entire account.

To add custom fields to your own profile:

  1. Go to the profile settings page and click the More fields option 1.

  2. Inside the More fields section, click Add user custom field 2.

  3. Choose the custom fields you'd like to include in your profile 3.

  4. Once the field is added, you can add field values with your own attributes or skills 4.

  5. Click Save changes to finish updating your profile 5.

User Attributes and APIs

You have the option to utilize Wrike's public APIs for updating custom field values associated with users.

Skill Levels Field Type for User Attributes: Assign Skill and Proficiency Pairs

This is an experimental feature released in Wrike Labs. It is subject to change and may not be available to all users.

The new Skill Levels custom field makes it easy for you and your team to manage and track everyone’s expertise right inside Wrike. You can pair skills with proficiency levels in one place - helping you make smarter resource recommendations and ensure the right people are assigned to the right tasks. It’s a powerful way to optimize project staffing, improve service delivery, and stay ahead of the competition.

How to Use Skill Level Custom Fields for Users

Custom fields like Skill Levels enable you to track and update user competencies (e.g., language skills) directly from your account management settings. Here’s how you can update these fields for one or more users:

  1. Go to User Settings

    • Navigate to the Users 1 section under Account Management in the sidebar.

  2. Select Users

    • Choose the users for whom you want to assign or update skill-level information. You can select multiple users at once for bulk actions 2.

  3. Mass Update Custom Fields

    • Locate the Mass Actions menu and select Update Custom Fields 3.

  4. Add New Custom Field

    • Click the Add Custom Field 4 button to start adding new attributes for the selected users.

  5. Choose Skill Level Field

    • From the available custom field options, select the relevant Skill Level field, such as Language Skills 5.

  6. Select Relevant Skill

    • Click in the search bar to display a list of available skills. For example, you might see English, French, or German as options 6.

  7. Assign Proficiency Levels

    • Alongside each skill, proficiency levels—such as Beginner, Intermediate, Advanced, or Expert - will be displayed. These levels help categorize each user's expertise 7.

  8. Update Multiple Skills if Needed

    • Assign different skill sets and their corresponding proficiency levels to each selected user. For instance, you can set English/Advanced, French/Intermediate, and German/Beginner as needed 8.

  9. Review and Save Changes

    • After all relevant skills and proficiency levels are assigned for each user, click the Update 9 button to save your changes.

Skill-Based Assignee Recommendations

When you set a specific skill requirement for a task in Wrike, the system automatically ranks team members in the assignee list based on their skill proficiency. Users who meet or exceed the required skill level are displayed at the top, making it easy to identify the most qualified candidates. Team members who possess the skill, but at a lower level than required, will appear next in the list, followed by those who do not have the skill at all. This smart suggestion feature streamlines task assignment by ensuring that tasks are delegated to the most capable individuals, improving efficiency and project outcomes.

For instance, if a task requires advanced proficiency in English, the system will recommend the most suitable assignee who meets both the skill and its required proficiency level. Users who possess the skill but do not meet the required proficiency will still be listed in the assignee recommendations, marked with a grey icon. Meanwhile, those who fully match the skill and proficiency requirements will be highlighted with a green user attribute icon in the recommendations.
