All users, except for Collaborators, Contributors, and Viewers, can create task templates.
Templates are useful for repetitive tasks, allowing teams to maintain efficiency and uniformity. A task template is a ready-to-use layout for creating tasks quickly and consistently. It includes fields such as title, description, assignees, due dates, subtasks, and other relevant details.
Use templates for creating individual tasks or small groups of tasks that are routine and need to be quickly replicated. Use Blueprints when you need to create complex project structures and maintain consistency across multiple large-scale projects.
Note
Blueprints are only available with the Business plan and higher subscriptions.
Your template is ready to use as soon as all of your information is added. To use a template, simply duplicate it, rename it, and move it to the appropriate location.
-
Go to your Templates folder (or create one if this is your first time creating a template). You may want to create a Task Templates subfolder inside your Templates folder.
-
Add a new task to the folder. This task is going to be your template, so we recommend giving it a descriptive name, e.g., Weekly Meeting Template.
-
Add relevant details to your task. Include any information that will be useful when you use the template. For example, you can add text in the task description, add assignees, set start and end dates, and more.
-
Navigate to the relevant task template in Table view.
-
Hover over the task click on the three-dot menu button 1 next to tasks’s title or right-click on the task and select Duplicate from the drop-down menu 2.
-
In the menu that opens, customize the item that will be created to suit your needs:
-
Change the title of the item you'll create 3.
-
Add a prefix to the titles of tasks, subfolders, and subprojects that will be created inside the item 4.
-
Choose a location 5. If no location is selected the new item will be added to Templates.
-
Choose what to copy from the template: tasks, descriptions, attachments, assignees, and custom fields values 6.
-
Reschedule the item to be created and enter a new start and end date. This will reschedule all tasks within the item respectively 7.
-
(Optional) check Add another 8 so that the dialog box remains open and you can duplicate another task (you can configure each task differently using this option).
-
Click Duplicate 9.
A new version of your template is created in the specified location and can now be used.
