Folder and Project Templates

Table 21. Availability - Legacy plans

All users except collaborators can create folder and project templates.

A folder or project template is a pre-configured setup used to streamline the creation of new projects or folders. These templates contain a standard structure, including tasks, sub-tasks, milestones, timelines, resources, and other relevant details, allowing teams to quickly and consistently replicate complex project setups.

Folder or project templates are used to set up individual projects with specific tasks and timelines, while space templates are used to create comprehensive work environments that include multiple projects and team-wide resources.

Create a folder or project template

  1. Go to your Templates folder, or create one if this is your first time creating a template. You should create template folders for each space where you need one, or in your Personal space.

  2. Within your Templates folder, create another new folder or project. This will become your template, so we recommend giving it a descriptive name, e.g., Book Launch Template.

  3. Add any relevant tasks and subtasks that you know will be necessary to completing the project. Once you’re done with this step, you should have tasks for each necessary step in your project.

  4. Add data to your tasks and subtasks. Fill in data for as many task attributes as you can (such as duration, assignees, descriptions, and attachments). Use task descriptions to explain to anyone reading the task for the first time what to do.

Your template is ready to use as soon as all of your information is added.

Use a folder or project template

  1. Navigate to the template you want to use in your sidebar.

  2. Right-click on the project or folder and select Duplicate 1 from the drop-down menu.

  3. In the menu that opens, customize the item that will be created to suit your needs:

    • Change the title of the item you'll create 2.

    • Add a prefix to the titles of tasks, subfolders, and subprojects that will be created inside the item 3.

    • Choose a location. If no location is selected the new item will be added to Templates 4.

    • Choose what to copy from the template: tasks, descriptions, attachments, assignees, and custom fields values 5.

    • Reschedule the item to be created and enter a new start and end date. This will reschedule all tasks within the item respectively 6.

    • (Optional) check Add another 7 so that the dialog box remains open and you can duplicate another folder or project (you can configure each item differently using this option).

    • Click Duplicate 8.

A new version of your template is created in the specified location and can now be used.
