Mass Edit Task Descriptions

Currently we run Projects that have the same 6-8 steps (tasks) within them. The project manager will write in the description of the project information about the job (i.e this is a backpack promotion email, etc) what we would like to do is to write that descriptive info about our jobs once and then have it applied to every single task so that when an assignee clicks into their tasks they can see the information right away.

I would suggest using a blueprint with the descriptions already filled in.  When you create a project from the blueprint you can include descriptions as part of the project.

Agree with Blueprint approach.  For top-level info that applies to the entire project we use the "project clipboard" section.

These are good options, but the descriptions I need put on every task vary from project to project (i.e backpack email, or hiking info graphic.)

This mass edit would be used so that when an assignee clicked into their task they wouldn't need to click out to the main project clipboard area to see it. Is there something I am not doing correctly? The clipboard symbol disappears once someone is in a task.

Need a bit more information then, but if its just a difference of backpack email or hiking as a descriptor then you could just include this in the project title as a prefix.  Or put the information in the first task and have the other tasks to refer to said task reference?

This would be very helpful. Here's my example. We are a retailer with 24 different store locations. At the corporate office, there are many different scenarios that we need to create the same task for each of our 24 stores, so I created a blueprint. There is one main task, that has 24 subtasks (one for each store) which each get assigned accordingly to their store manager. We use the Prefix field to name the task appropriately, but we also want to provide them with additional details, which would only make sense to go in the Description field. As it is now, we have to copy and paste the description into each of the 24 tasks. Whether we can instead set a description when creating from the blueprint, or mass edit the descriptions after the fact, that would eliminate a lot of tedious copy and pasting.

We put some schedule summary information into our tasks. When there is revised information, it would be helpful to mass edit/revise the effected tasks.

I would love this feature. I have to pass information that is gathered from one task to the next and don't know what that information is until the final report is complete. Even then, sometimes things change and having a synced block of text that I can update in one place would be a huge help. Notion recently did this and it saved me lots of time, it helped to make sure my team was on the same page with any changes that happened, and it allows the task or sub-task owner to complete their task knowing they have all the current and relevant information. I would really reconsider and add this as a priority people didn't even know they needed!

I'd like to suggest the capability to mass update blueprint task descriptions. We have tasks within different blueprints that are identical. In addition, we have teams who have cloned the master blueprints for the purpose to have all tasks assigned to their particular team members (as opposed to assigning for every project from the blueprint).

The challenge we are experiencing, is when we need to tweak the description within a blueprint task that spans many master and customized blueprints. We have descriptions within the tasks to help team members, especially new hires, understand the requirements of executing the task. 

It is painful to click into each individual task and update the description. It also leaves room for errors, like missing a task.

Does this fall under the original request? If not, I'l start a new submission.

Hi Mollie Fabel thank you for sharing your detailed use case. Since you are already using blueprints, applying changes to all your items by modifying only one of them should be relatively easy.
 
As you mentioned in your comment, you are including identical tasks in different blueprints (project blueprints, for instance). This means that if you created a task blueprint and then included it (tag it) in your other blueprints, by modifying this task blueprint, the changes will be reflected in all its locations and you wouldn't need to go into every project to edit the task.
 
The steps you should follow to achieve this would be:
 
 
2 - Tag/include the task in the relevant project blueprints.
 
 
 
  
 
3 - If you edit the task description, the changes will be reflected in all the locations/projects it lives in.
  
 
To recap, in order to achieve this, you would first need to create the task blueprints that you will later need to include in every project or parent task blueprint. This would be the best solution for your case.
 
However, if you don't have the time to restructure and create again all your blueprints to work as described, you can start by using a quick workaround.
 
You could:
 
1- In your blueprint, create a 'Text' type custom field named 'Description' or similar.
 
  
 
  
 
2- Switch to the New Table View, add the relevant description and, in case you need to copy it into other tasks, simply drag the cell vertically.
 
 
3- To avoid any confusion, you can add a legend in the proper task description to let your colleagues know that they can check the 'Description' custom field for instructions.
 
  
 
Even though this workaround could save you time, I'd highly recommend following the first approach. If you have any additional questions, we are here to help 🙂

Hi Juan, 

I appreciate your time and thoughts here.

A few questions. With a custom field, I imagine there are character limits. Some of our descriptions have several sentences and links. Do the links work within the custom field? I also don't love the user experience of redirecting the user every time they open the task to find the description in the dropdown area. 

The setup is a lift, but I see how it could save time later on. At this point, I'm not willing to lessen the UX for the sake of ease for myself.

Hi Mollie Fabel, thank you for your reply. Regarding your questions:
 
1- Is there a character limit in custom fields? No, there's no limit 🚀
 
2- Do links work in custom fields? Yes, they do 😁:
 
 
3 - I totally agree with the fact that the experience of redirecting users to the custom field is not ideal, as mentioned in my previous message, this suggestion is only a quick workaround in case you don't have the time to re-work your blueprints right now.
 
The ideal approach is the first one I mentioned: creating blueprint tasks that will be then included (tagged) in multiple project blueprints (or parent task blueprints). By doing so, if you edit the task, the changes will be reflected in every project - you'll be 'mass editing' the tasks - because it will be the same task included in different parent items.
