Need Your Feedback: Workflow Reporting 🔄
Прикреплено ВыделеноHello Wrike Community 👋
Have you ever wondered how long a task or project remains in each status? Imagine having that insight at your fingertips! We believe understanding these metrics could be a game-changer for optimizing your workflows and boosting efficiency.
At the moment, we have workflow reports for that, but we’re wondering if you think there’s a more efficient way to provide you with this functionality.
How You Can Help:
🌟 Share Your Thoughts: We want to hear from you! Would a feature that tracks how long tasks and projects stay in each status be helpful to you? How do you think it could change or improve your workflow?
Thank you for helping us make Wrike even better!
Looking forward to your insights 👇

Yes, this would be helpful. Right now I am tracking similar metrics in Analyze, but it would be nice to have this set up as a default feature in dashboards or reports. We also have tasks that bounce between different workflows, so it would be nice to track how long a task stays in each workflow total as well. Thanks for looking into this! Excited to see what comes of it.
We are currently trying to solve for this problem! We are trying to use automations/Wrike Integrate so something more native to the system would be so beneficial.
I've been asked about this capability so have been pulling monthly workflow reports from Wrike. We're more interested in task/project level data for analysis within Power Bi to understand duration between specific statuses. I've kept my eye on this feature suggestion where a new automation action would allow stamping today's date into a custom field when statuses of interest changes. Configuring a condition to check if blank would give users control over whether it overwrites the date since workflows can sometimes by agile and you may only want to capture the first status change. One con is then you would be creating a lot of custom field clutter for each status you wanted to run a calculation on (In Process Date, Under Review Date, UAT Date, etc.).
Yes, this update would be helpful. Will this option allow us to see reports on workflows used in our entire account as a whole and with an option to separate the data by space, team, job role or user group? I agree with Ali Moses, the ability to track multiple workflows used within a space could benefit us also.
Great to see you're interested in this research, folks! Thanks a lot for sharing your thoughts 🙌

Hi Lisa,
we don't use the workflow reporting function so much.
However, we always need to know:
Thanks
It would be great if we could also measure the time a file remains in a certain status (when tied to file approval workflows within a task). As a task status can remain the same, even though files within the task go through various approval statuses. Insights in this could really help us optimise the approval workflows.
Thanks for hearing us out :)
I'm not sure if I'm doing something wrong or not, but my workflow reports always seem to have something missing - the labs article implies that I should be getting stats on how items are in a workflow stage for, but my reports never contain that. Any tips on things I could do differently? I haven't opened a ticket as I wasn't sure if Labs were supported or not.
Patrick Just de la Paisières Thanks a lot for your feedback 🙌
Phil Taylor I did open a ticket for you, I think our Support team should be able to help 🙂

Hi! I have come around to looking at the beta workflow report every once in a while over the last several years. I would appreciate the insights as to what portions of a workflow are used the most, how much it is used (one of our workflows has optional parts if our team wants to keep granular track of their tasks), where the bottlenecks are, etc. The one that exists that sends you an html report isn't very easy to understand and grasp immediate insights. I would love if this got a revamp to show more clear and concise insights. Thank you!
This would be very beneficial to have in Wrike! Our executive team is always looking for analytics to assess timelines within our projects, so it would be helpful to see this data & gain an idea/understanding on how the project flows within our custom workflows, etc., since workflows can vary based on the type of projects we're working on.
Thank you for sharing your thoughts on this, folks! 🤗

This is something we have been trying to report on since we set up Wrike ~6 years ago. It is essential for us to be able to show the amount time that is wasted when work is not actively sitting with us and be able to remove this from our "time to close". E.g., our time to close a job might be 56 days, but of that the job was only actively with us for 12. This would help show that the delay is actually with other past of the process.
I think this functionality would be very beneficial for reporting. We have a few teams that purely work on "ticket" type tasks that come in through request form. It would be great to be able to easily access data to see how long the tickets stay in each workflow status. This is something that is often requested from senior managers.
It would be AMAZING to have this feature embedded into Wrike rather than having to pull the report. Being able to report out on the duration between statuses would be great as well to be able to gather actuals on moving through workflows.
We so appreciate your insights, everyone 🙌

I've had a negative experience with the workflow reports. We were looking to leverage workflow reports to gain insights on how long tasks are staying in statuses before moving and therefore looking for ways to optimize our workflows overall; this information was to be presented at a huge cross-team meet-up (that included directors).
I tried to export the report, but never received it. It took over a week to coordinate between our internal IT and Wrike Support to figure out the issue. Turns out, our company's IT blocks emails with .html attachments as they can be a security risk. As a result, I asked support and our CSM if there was a solution; i.e. if they can generate the report on their end and just send a screenshot to me so it can be a discussion point in a massive meeting. They declined this solution that I proposed, nor would they simply forward it to our CSM who could then share these insights with us. I know our CSM was doing everything she could, but there was nothing to be done to compromise and get us this info, so we failed to present this to our big stakeholders. Our CSM mentioned using Wrike Analyze, but it was waaaay too confusing and there were duplicate statuses that even Support could not give a direct response as to how to analyze the data.
I think there should be different formats available to getting this report to make it more accessible to all; i.e. ask users generating the report to choose the export format or even just display in Wrike directly. If the reports are being phased out, an alternative that is not as complex as Wrike Analyze boards could be introduced. Myself and many others can see the value of getting this sort of data to optimize our workflows and make things a lot more user-friendly for our daily Wrike users.
Thanks!
From what I understand from Wrike Help Desk, the Workflow Report only shows status changes for Tasks and does not report on Projects. If you want reporting on Project status changes that can be pulled using Wrike Analyze. We do use Wrike Analyze to pull data but we like the visual of the Workflow Report to see the arrows of how statuses are being changed. It'd be great to have a Widget Template to use on New Dashboards that can show this data visually, like the workflow report, but more simplified.
Hi Meredith Selden. Oh wow, that's a massive limitation and explains why my reports are not showing what I expect them to show! This feels like a huge gap in the functionality. If you created a feature request for what you suggested I'll up-vote you a million times (well, actually once, because that's all we're allowed to do ;-))
Thanks so much for writing this feedback folks and especially Anna Giacobbe! We take all feedback, good and bad, and our team pays lots of attention to this thread. Thank you again! 🙌

Thanks to you, Lisa!
I wanted to be honest with my experience as it was debilitating to our discussions, but cannot stress enough that this is something we think could be so valuable to teams and especially Wrike admins/Marketing Ops so that they can optimize processes to best serve their teams. I just wish it was a little more accessible in format, but I do believe that the Wrike team will take this information into consideration to optimize the feature :) I do hope to get my hands on this type of reporting in the future!
