Access limitation of sub tasks

回答済み

Some of sub tasks include confidential documents which we share specific people, but  those are tied to the mother project and don't want to split. Does Anyone know good way to control access to specific tasks/sub tasks?

That's a good question. I think you have two options.

1.) password protect the documents. This is available for PDF, Excel and Word as well as many other software programs.

2.) move all documents that are classified to their own Folder within the project and only allow access to specific people.

Does anyone else have any suggestions?

Thanks, Marjorie.

1.) was what I originally thought of  and can be a option as long as the people who access those documents don't mind to put password every single time they do.

I would like to understand your suggestion 2 more. We have a sort of template for projects and the sub tasks are part of them.

Would like to share the project itself with all of members but hope to limit access to the only sub tasks which have confidential documents.

your suggestion 2.) sounds no one can see the projects beside people who have access to the folder, but is it true?  Or I missed any points?

Hi Hiro, sorry to take so long to get back to you.

With option 1, it only takes a second to type in a password, and, should the document get saved to someone's computer outside of Wrike, it protects confidential document from being opened by the wrong person. At our company, all confidential documents are password protected.

For option 2, i created a basic project, with two folders. One holds the confidential files, the other has all the other tasks that would need to be done, and that can be seen by everyone that can see the project. I have shared the Project with 2 other people.

With inherited permissions on, whoever can see Hiro's Project, can have access to both folders. In order to make the Confidential Files folder available to only certain users, you have to turn off inherited permissions and remove those you don't want to have access. This could be very tedious if you have multiple Projects going at once. And you would have to remember to remove the access by users not allowed to see the Files every time you created a project. Unless you have a template and the project/tasks are the same every time. You could probably set access using a template, and duplicating the template for each new project.

I hope all this makes sense. I personally, would find it easier to password protect the files, even if not just for the project, but to limit access from people that should not have it.

HI Marjorie,

Thank you so much for your advise. It makes sense now and link you sent was good to me. I would test both with my team and would have either way working for us better.

Thanks,

Hiro
