Project Archive Downloads

It would be helpful if an entire project could be downloaded into a file for archiving. Currently the only method is a full back-up without comments and attachments. There needs to be a function to pull it as a singular package, including comments and attachments

Hi Suzanne, thanks for the post. It would be great to hear what kind of file you're thinking and for what use would you use this file? Thank you 👍

For archiving, we would like to store all documentation and assets from a project in a single package which includes assets not created or stored in Wrike due to practicality. However, we would like to see everything created within Wrike, including comments and additional assets.

Likewise, I'm also keen to see this feature as Suzanne mentioned in her July 2018 post.

I agree with everyone else.  I used a different project management software in the past.  They had the option of archiving a single project onto a PC or server.

This is a very valuable functionality - is there an update on this? It would greatly increase the value of utilizing Wrike as a scalable solution for large organizations.

Hey everyone, apologies for the delay in response here.

There are currently no plans to implement this suggestion into Wrike. If anything changes, I'll be sure to let you know.

Hi this is a function we also need for our organization.  When a project is finished there isn't a need to store it in Wrike as we won't refer back to it. HOWEVER, if we were to get audited by a client, we would need to pull up old projects to show what files were approved and when. We currently keep that information stored separately, but there isn't a simple way (that I know of) to transfer the files we've had up in wrike.

Agreed - It's all well and good for Wrike to suggest we export tasks periodically to avoid clutter - but the time it takes to manually export and archive documents, files and assets makes it a difficult job.

Would be awesome if the tool could also export files as well as an excel data sheet

I agree. Now that our project is complete, I'm looking for a way to document it in case questions arise. I have downloaded all the files and have exported the list view of the project which does include all the comments. But the files cannot be exported or downloaded connected to their individual tasks. If I could even export the files "view" that lists the files by task, that would help.

@... Let me add my +1 to this request. Our organisation uses Wrike to manage several project that we don't want cluttering the Workspace, and being able to export would be a key feature.

I hadn't used Wrike for a while, now want to start fresh and not have past years work clutter up my workspace.

I think I'll create an archive section, move things in there, but they'll still come up, I suspect.

Even a HIDE function may be the solution that puts projects and tasks in a hidden mode

Seems like this has been wished for for 2 years by the community....

Hi Christian Milaster, welcome to the Community!

Although, as Hugh mentioned above, this suggestion is currently not planned by the team, you can still create an archive folder and move everything you don't need there. If the projects/folders you're moving to the archive aren't tagged anywhere else, they shouldn't come up again. Hope this helps!

Yes, it would be very, very, helpful if one could archive a project into a singular package file such as a zip file, including comments and attachments...

Hi Laura Dembitzer, welcome to the Community! 🤗 Thank you for supporting this idea here!

I know that in the original post, Suzanne suggested a feature to archive everything, including comments and attachments, but maybe in some of the cases here at least, exporting data to Excel could also be an option?

This would be a major feature/ capability for scalability, Enterprise use & archiving. This is why:

Situation

There is a need for mass archiving options in our company. The discussions and suggestions were
  • to have the ability to extract data (a project) as a zip, in order to save into their SAP then
  • an option to zip all contractual documentation with attachments by just pressing a button - and then 'shelve' for auditing and for their customers' reference
  • to archive at the click of a button not to see everything any longer?
  • via a button & window pop-up?
  • via automation upon completion workflow status?
  • via a button 'archive/ not archive' in the project
  • How can Siemens refresh archived items in case they need to be brought back to life?

Business case

A solid archiving option within Wrike is needed for the following reasons:

Limited storage space:
  • Sheer amount of data & files leads to our account already using up the available 2 TB of free storage space. We have started to purchase further storage space from Wrike.
  • The longer an account exist, the more user/ use cases utilize the account, the more probable it is that the limit of storage capacity is reached (--> also for Wrike itself as their own biggest customer, this can be an issue)

Performance:

  • to help system performance, which continues to deteriorate given the volume of tasks
  • Would a "second cloud" for archived projects help?
  • This might be solved as a workaround by choosing to view only folders on a deep level and not open folders on the higher or highest level

Document & Life-cycle Management:

  • to avoid data clutter; in Switzerland alone, there have been 6,000 projects created this year so far, and 375,000 tasks.
  • A project / documents need to be tracked over their life-cycle and then archived once the contract with the customer is completed. In many cases, after the initial installation at the customer site, additional services (maintenance, migration, etc.) are sold and the appropriate project (and their documents) need to be handed over to another team/ another process - which can be outside of Wrike
  • Extended export functionalities tie in with this archiving

Data protection regulations:

  • Data have to go into an archive and then must only be accessible by an Admin
  • Export of data & content would be an alternative
  • Deletion is not an option here
  • Differing data retention policies in each country
  • Note that from an IT perspective these are not trivial topics, archiving is very necessary from a data retention perspective!

Data security aspects (side note):
What I want to know is, if there is a data security strategy on the side of Wrike where the project data is stored. What is if I need, for any reasons, the version of a project from 3 months ago? How long can I go back, if a project is deleted and the bin has been deleted? Is there any kind of data security strategy? How often the database in the cloud will be saved? How many days a data save will be stored?
