Root folder permissions

We are setting up Wrike throughout the company and would like to ensure that staff cannot access tasks from other departments. How would we best do this?

We envision a folder structure as follows:

1.0 Root

1.1 Departments

1.1.1 IT

1.1.2 Marketing

1.1.3 Etc..

1.2 Projects

1.2.1 Project A

1.2.2 Project B

1.2.3 Etc...

Are all tasks accessible through the root folder?

Any assistance is much appreciated.

Hi Lars, thank you for reaching out here! Only data which has been explicitly shared with a user (and locations nesting under it) will be visible to them. Let me illustrate with this example:

  • The top level Folders are: 1.Projects, 2. Departments, 3. Company, Welcome to Wrike!, zArchive, zPersonal.
  • If a user has access to a top level Folder, they will see everything underneath it. For example, if I share "2. Departments" with a user, they will see Design, Development, Marketing, Sales, and Support Folders too.
  • If only "Design" is shared with a user, they will not see other departments' Folders.
  • Following the same logic, even thought "zPersonal" is a top level Folder, it will not be visible to anyone unless I explicitly share it.

Thanks for your response, however I am not sure this will solve my challenge: how can I limit access to a sub folder?

In your example structure let's assume the following:

o That the Sales folder is shared with everyone in the Sales team.
o I want to keep all Sales projects in the Sales Folder for efficiency and oversight by executive management
o I have to start a confidential project called "Reorganize West Cost Sales Team"

Where should I create the confidential project?

If I create the confidential project in the Sales folder, the entire Sales team will be able to see it, as it inherited the permissions of the parent folder.

If I create the confidential project at the root, i can limit access, but I lose my oversight view of sales projects.

What's the best way to solve this challenge?
