[From Wrike] Get The Most From Wrike Workflows!

As you may already know, we've recently released Custom Project Statuses for all Business and Enterprise accounts. With Custom Project Statuses, you can customise and personalise each of your projects to properly reflect the different stages of development that each of your projects are in. In this article, I'm going to be telling you how to implement these workflows into your own Wrike accounts and all the benefits you can find from using these regularly!

Go With The Workflow

If you're an account admin, it couldn't be easier for you to create a custom workflow.
  1. Click your profile image in the upper right-hand corner of your Workspace.
  2. Select โ€œAccount Managementโ€.
  3. Switch to the โ€œWorkflowโ€ tab. You will see a list of all workflows in the account.
  4. Click โ€œ+ New workflowโ€.
  5. Enter your new workflowโ€™s name. By default, it has one status in the Active and Completed workflow categories.
  6. Add statuses to your workflow: click โ€œ+ Add Statusโ€ at the bottom of any workflow group, enter its title and select a color for that status.
  7. Rename, delete, or change a status color by clicking on that status.
  8. Drag and drop statuses to arrange them in the order that makes the most sense for your team. The order you choose here is the order that statuses will appear in on a Taskโ€™s dropdown status menu.
  9. Click โ€œSaveโ€ in the upper right-hand corner.

You can have up to 165 custom workflows, so each aspect of your business can show exactly where they are with each of their products, like a social media campaign or a support ticket!

Approve To The Music

Another bonus to using Custom Workflows is that you are able to add approvals to each of your workflows. If you're looking to ensure that your projects are accurately being represented in Wrike, adding approvals can add an extra layer of security to your team's projected targets. To add an approval, select a status from your chosen workflows section and select "add approval". From here on, when this status is chosen in a project, it will be assigned to which ever user you choose and can even change depending on which user selects it!

Consider It Fixed
Once youโ€™ve created custom workflows and added approvals if needed, you can make it easier for people to see which statuses should be selected next. For this, try using Fixed or Flexible workflows for your projectsโ€™ statuses.ย

Flexible Workflows allow the users to see specifically predesignated status options, all other statuses are accessible under a โ€œOtherโ€ menu option. Admins determine which status should have predetermined follow-up statuses and they choose what the follow-up statuses are.

Fixed Workflows are for when you donโ€™t want anyone to see any other status options but the ones youโ€™ve set up. When changing a status, users can only choose from certain predesignated statuses. Admins determine which status should have predetermined follow-up statuses and they choose what the follow-up statuses are. Add those follow-up statuses and check the โ€œLock transitionsโ€ box to create a Fixed workflow.

For example, if a project or task has the โ€œEvaluationโ€ status, users will only be able to change it to โ€œMarket for rentโ€. They will not see or be able to select any other status options.

Get Widget With It
Using Custom Workflows, you can not only customise what your projects will look like, you can also customise how your Dashboard will look. Using widgets, you can choose which workflow will dictate which task enters each section. Each widget can have its own custom workflow, so your dashboard's capability for giving a clear view of your team's output is unlimited. Custom Workflows in the dashboard are especially helpful for companies that utilise different workflows for separate departments but still want an overall view of development.

Report It To The Top
Reports are also able to take full advantage of Custom Workflows. Similar to constructing Dashboards, as you put together your Report you can select which Custom Workflow you'd like to have appear. This is especially useful for companies that want to show, in the clearest possible way, the progress that a certain team is making. A detailed report with clearly labeled columns pertaining to each individual department will help your whole company understand and evaluate the work done so far.
