Confidential Tasks/Subtasks
Wrike team,
We are wanting to be able to share a Task, and have subtasks in the task that are only viewable to admins or those who are explicitly shared on the subtask. If there was a "Confidential" feature or something that blacked it out except for explicit sharing, that would be most helpful.
Respectfully Yours,
Grant
Quite simply set up a new space and share with the individuals you wish to. This is therefore restricted to you and the teams you wish to set up. I appreciate this is a work around but does work for us. And to help further for Projects that are shared if you appropriately set these up so the access is shared appropriately you can also reproduce want you want to achieve with private / confidential tasks.
We are blessed with Wrike promotes a warning to show if you want to share the task if you @mention anyone as well.
Glyn,
While that could work in some workflows, it does not work for what I am describing. Creating a new space is great if every task in a process can be shared with every individual, but that doesn't work if certain tasks within a workflow need to be included in the workflow but shouldn't be available to all team members.
For example: In one process, we have a number of approvals that, once completed, trigger another process to move forward. The approvals and conversation around them are confidential, and should only be seen by a small group. We want people to be able to see the status of these tasks within the project, but not to be able to click into it and see the conversation on the actual task.
If we were to just do a new project with just the approvals, people wouldn't be able to see the completion of these tasks and the process is held up by having to check in with the approval stakeholders. I am hoping for end-to-end task/project management, and having a confidential or "Secure" task option would help us to get there. Does that make sense?
Respectfully Yours,
Grant
Hi Grant, thank you for the post! I think what you're describing is something similar to Selective Sharing but within tasks, rather than projects and folders. This is currently not possible in Wrike, but your use case has been passed on to the Product team. As soon as I have an update for you, I'll let you know 😊
This feature would also be useful for our team. We've started sharing our project schedules with clients as external users, but there are often subtasks within the schedule that we do not want to share with the clients. It would be great if we could add a task to an external schedule folder to share with the client, but then be able to remove certain subtasks from that folder.
Hi Emily McQuarrie, welcome to the Community and thank you for adding your support here!
This would be very useful for our team as we host one-on-one meeting notes in Wrike and would like the option to keep them confidential within a space.
We have a case where our customers shouldn't see the detailed subtasks and the discussions within that we have going on with our subcontractors.
Hey Sri Sukhi, it's possible that selective sharing could be useful for your team. It allows you to not share subitems automatically when the parent item is shared with users. Please find more info in this Help Center article and let me know if you have any questions 🙂
