Create View-Only version of a Dashboard that is Publishable externally

Would love the ability to publish out a read-only version of my Dashboards to external/internal audiences that are non-Wrike users, in the same way that external forms work.  Our external-facing forms are working wonderfully and serve as a great example of how this could work.  For instance, our forms allow nurses and doctors who are too busy or have no interest in become Wrike users to still interact with us (IT department) by putting in simple requests from the web that instantly hit our work queues.  It would be really nice though to close that feedback loop; by publishing the work-queue back to them in a read-only format so they can monitor the progression of their requests w/o needing to call us for updates.  A good example might be like a Report Development request Queue.  I could easily push this out to the web - published either by Priority or Status to end-users and they would have instant recognition that we are working on their projects in a timely manner, giving them both confidence that their requests are being worked on and a timeline to follow toward completion. It's very similar to how your sandwiches now get built at Panera or your pizzas at PizzaHut.  You no longer need to ask the cashier "How much longer?", because you can see the status right on the board that says "in the oven..."  This functionality would make Wrike so incredibly powerful as a communication tool to entire organizations at large who maybe only have a few departments that have adopted Wrike, because publishing web-dashboards create interest, increase transparency, and will likely attract new users as other departments inquire about the tool and request access to it themselves.

Hi Bernard, welcome to the community 🙌 That's a great post, with plenty of detail and it makes a lot of sense too.

Currently, you can add these people as Collaborators, however, I'm wondering if a Report Snapshot might be something that would interest you for now. (Note, that this only available for Business and Enterprise accounts).

This will provide them with a Wrike-style report that they can't edit but can review. You can look to your Report Filters to ensure the right detail is captured.

We'd also like something like this. We have a lot of clients that want to check on the progress of all of their work and currently there is not easy way for them to do this unless the task is specifically assigned to them. An editor, for example, will want to see all the videos that his team has requested from us but he doesn't want to be assigned to every task.

A snapshot report isn't the answer. As the name suggests, this is a snapshot in time, but people want to be able to see exactly what the status is at the current time they are checking, which is what a dashboard is for.

The decision to restrict dashboards to Full Users seems strange to me as this is the perfect use case for Collaborators or even non Wrike users to view the status of a specific group of tasks.

Hi Stephen, great thought but I agree w Angus on this one. The report snapshot would mean that I would constantly have to update the report to get people the latest info, whereas that is the exact function of the dashboard. All I need is a way for non users to see it. What I'm currently experimenting with is possibly building an account that could be a 'user', who's sole purpose is to display the dashboard. It's not as efficient as a front facing webpage intended for this purpose that I could simply send users links to, but for this unique purpose, I might be able to pull it off. What I'm trying to achieve is similar to what you might see in any emergency department you go to when you visit a hospital today. Most hospitals today have gotten rid of their old school 'white boards' and are now all using electronic white boards (dashboards) to display critical patient info for all in the department to see by looking up, rather than having to waste time logging into a computer. Same idea here. I might be able to pull this off using a dummy account that simply stays logged in with the dashboard up. The only problem I see with this solution is that as important as we think we are, in reality I know we are not important enough to tie up a whole computer that essentially won't be able to be used for anything else but this purpose... which would mean that I would periodically have to travel just to re-log into the dummy account whenever someone else closes out the application inadvertently.

Hi Cansu,

Unfortunately that's not really a solution.  Dashboards have several big advantages over reports:

  • The information is live and always accurate
  • Dashboards allow you to display multiple pieces of information with a single link

If I have to generate a new report every time someone needs information then it's not really saving us any time.  Bernard and Angus do a good job of laying out the issues with this approach in their posts above.

Having used a number of project management tools, external facing dashboards are a very common feature, and I'm surprised at how limited wrike's implementation is.
