Linking Task to Outlook Task

Hello All,

It would be very helpful if we could link a task in Wrike to a task in Outlook. So if I create a task that is due on Friday at 3 PM, it would also add an Outlook task at the same time. I see there is an integration package for purchase, but we really only need to be able to populate the task portion. It looks like this is an option on Google Calendar, but not Outlook.

Thank you,

Brian

Yes, this feature would be very beneficial.  Taking an outlook event in the calendar and create a task in Wrike to move accountability, tracking and resource management into Wrike.  ALso, with the Wrike add-on for MS Teams installed for the user, this makes it simpler to create a task also for them from their calendar.  Could be a personal task or KTLO or Prod Support.

Hi Brian Hamilton Curtis Jackson, thank you for your comments! Would you please confirm if the Wrike for Outlook native integration could cover your needs?

Otherwise, as Brian mentioned, you might be able to achieve this via Wrike Integrate

Looking forward to your replies!

@..., thank you for responding. The Wrike for Outlook looks like it just creates tasks for users, what I want to do is be able to link tasks to events within the Outlook calendar. So if John has a task due on Friday, it adds an event on his Outlook. I guess this could work in Teams as well since that integration also exists, although doesn't quite do this yet.

Thank you for your reply, Brian Hamilton. I understand your point, in that case, the option would be, as you mentioned, Wrike Integrate. In case you're interested in learning more about it, please let me know and I'll forward your request to out dedicated team 👍

Thank you!

Hi @..., I'm also very interested in learning how to use Wrike Integrate to create an event in the assignee's Outlook calendar based on a task in Wrike. We have Wrike tasks for scheduling status and decision meetings within projects, and it would be fantastic to be able to create those meetings within Wrike and have them appear at the same time (as meeting invitations, I guess?) in the assignees Outlook calendars. Currently, creating those meetings in Outlook and inviting the required people depends on the Wrike project owner remembering to take care of those steps.

Tuomo Suominen You can now create Outlook calendar events as an action in an automation rule. But note that you will need to adjust time in Outlook since Wrike does not allow you to specify a time for a task. if you must have time as well you should look into Wrike Sync addin

We don't want automation rules or anything that requires tons of manual work.  We have a "space" in Wrike and we want anything in there with a date to show up in an Outlook calendar with a few key fields (task name, date(s), maybe the assignee).  WHY is this so difficult??????

The ability to 2-way sync wrike tasks to an outlook calendar (NOT an individual's calendar) has been long-standing requested feature to Wrike.  We've explored the legacy Google option (which is not 2-way and also does not update changes), and the UNITO "partner" solution is also proving to be worthless (their support is absolutely abysmal and a deterrent to purchasing their solution after the 2-week trial).

Here is one thread in the Wrike boards about Outlook:  https://help.wrike.com/hc/en-us/community/posts/360016735074/comments/20644794656791

SO if there is an API solution, assuming we have the technical skills... can we achieve a true 2-way sync that also populates edits to wrike tasks or calendar entries in outlook on the same item?  Will the API allow this?

This is a ridiculously easy concept.  Of course we could go with MS Project as that has no issues integrating with Outlook lol.  But MS Project is a hot mess and overly complicated.  We really want to try Wrike with Outlook... help!  Suggestions???

John Rakoczy thanks for joining the conversation. Reading your post, it would seem that the best option for you is Wrike Sync. You can read more about it on https://unito.io/blog/guide-how-to-connect-outlook-wrike/. You can reach out to your CSM or Account Manager and inquire about turning a trial for Wrike Sync on.

Miron Mizrahi You linked right back to this thread :)

We have been trying to do a simple 2-way communication between Wrike and Outlook's calendar for a long time.  Every single solution presented... seems to me that I'm not being clear enough on what we (and many other customers) need.

Scenario 1:

  • I make a task in Wrike, that I also want to appear in an Outlook GROUP calendar.  Any changes to that task in Wrike automatically occur also in that linked Outlook calendar item.
  • The Outlook item, if changed, would ideally update the Wrike item it links to or in the very least contains a link back to the Wrike task so someone could jump right there and edit the task in Wrike (which would then immediately update the Outlook item per the prior bullet)

That's pretty much it.

Unito is unresponsive to support requests, and if they do respond, they simply say "we can't see your system and cannot help" (!).  And from what I understand, Unito requries full admin rights to our enterprise Microsoft account to function... which is ridiculous to ask in this day and age unless they are willing to accept full liability for any security breaches in our system that result from their cybersec deficiencies...

SO the question becomes - because "Sync" and "Unito" and "Integrate" and the teams add-on do NOT do the simple request in scenario 1 above - is there anyone in the Universe who can definitely say "yes or no" that it's possible to use the API from both Wrike and Outlook and design the solution ourselves?

John Rakoczy apologies. I corrected the link.
While I cannot comment on your interactions with Unito, if you purchase Wrike Sync, your first support line would be Wrike support, not Unito. Wrike Support will coordinate with Unito support if needed.

You should not need admin access to your MS instance. The Outlook sync should require only that you have access to the mailbox you need.

Lastly, yes, it is certainly possible to use the Wrike and MS Graph APIs to connect Wrike and Outlook. Note that to do this you will probably need admin access or at least be able to ask your admins to help you set up MS Graph API access.
