Archive Old Projects and Tasks

Hi everyone!
I need a hand and your experience in managing past activities.

We have about 350 customers and 650 active projects every year, our activities usually last from January 1st to December 31st. Every year we reopen new contracts and orders.

So today we have a space that contains all the orders for 2022 and one that contains all the orders for 2023.

My difficulty lies in the fact that I cannot / do not want to delete the projects and tasks of 2022, so they are entered in a Private space but each person continues to see the shared tasks or the project owners can find the projects in the (Shared with me) view.
I can't even unassign everything, we are talking about thousands of tasks and also using Analyze I use this data for statistics.

Often the projects have the same name, for example: Company XY - SEO 2022 and Company XY - SEO 2023.
And when looking for a project or a task, it's easy to go wrong.

How do you fix it?

why don't you and your teammates simply use filters to show only active tasks?

Hi Pietro,

I still don't understand your issue. You said you move old projects into a special space. So you won't see folders and projects anymore if you don't go to this space. And in the "shared with me" section you can apply a filter to show only active tasks and projects. You have to check the box "Tasks from subfolders" in the list view, so that you won't see empty folders or projects.

An archive option would be great! We too created a separate space for archiving specifically. This space is not shared with all users, only those who would need access.

I created a separate folder, then created an automation rule moving a completed or cancelled project (project status - completed or cancelled) from an active projects folder to a archived projects folder, so only active projects are appearing. Additionally, from a reporting perspective, I generate reports based on all active projects (which are broken down to cross-functional teams), leaving out historical data, but still having easy access.

I am trying to find all the work orders ever put in for a specific locations.  It may have been marked as complete.  I want to see if there ever was a work order for 1 location

Hi Wanda Grimes, you need to go into Wrike in the folder or project you have created for storage these orders and then remove all filters to see all items.
Then in Table View you can show Location column (if it's a custom field).
