Project Status automation
Hi there
within the Automation Engine, it would be great if there was a out-of-the-box trigger available to auto-change a project status to 'In progress', if any task within the project also has it's status changed to 'In progress'. A trigger for project kick off basically.
thanks
Jem
I completely agree. That's currently a manual step that is often overlooked. Anything we can automate across all workflows would be helpful!
This would be very useful. My team regularly forgets to move the status of the levels above what they are directly working on causing high level overviews to look like no work has been done until you open the task up and see most of the sub-tasks are complete or in progress.
What I would love to see is the automation of the project status change when the last task is set to Completed status and the whole project status changes to Completed. Or if there was a dependency on a milestone or a specific task, so that one that changes to status Completed the whole project status changes to Completed.
This will be helpful to high level viewers, currently it is a manual task and people tend to forget to change the status of the project.

I agree, this would be a great feature!

Building on this, I think any type of "deferred" sub task/task roll up to the project level would be handy as well. That may have been implied or achieved within the existing request, but I didn't want to chance the assumption.
Hi Sicily Saputo, welcome to the Community, and thank you for posting! I've passed on your additional feedback to the team👍🏼
Ellen Dak I know your comment is from 2021 so you may have already added this automation, but I recently added an automation rule to mark a project complete when all direct subitems status change to complete. I also added a comment that sends me (as the PM for our team) a note showing that the project is complete and promoting me to update the custom field for project status with a note. This has been a huge improvement for me.
Just wanted to share in case it is helpful.
Robyn is correct that currently with Automation, it's possible to mark a project as complete when all direct subitems status change to complete.
However, I'd like to see a similar function but allow more fine tuning - When a specific task (or multiple tasks) is complete, automatically change the Project status to a specific value (not necessarily to Complete, but allow interim statuses, such as In Progress, Awaiting Resolution, etc.). Ultimately the ask is the same - Providing high level view to Project Status by progressing tasks without having to also manually progressing the project status.
Hi Han Zhou, thank you for chiming in here, and sharing your use case. I'm passing it on to our Product team.
Han Zhou I love your suggestion for fine tuning and could see that being a popular use case for me. I hope this is something we can see developed in the future.
Neeed this! :)
Hi Robin Westergren, thanks for adding your feedback here, noted 🙂

Hi,
I am unable to create Automation rule and also automate sending emails and link it to ical (currently the open is only for google calendars).
Can someone help me with the same.

I was trying to add an automation for projects, but couldn't select the project as the trigger unless I created a custom project type within that space. I had a custom project type that I added to my own account, but the automations for the space couldn't see it. Hope that helps someone.
Hi Monica Mainville, thanks for reaching out about this. I've created a Support ticket for you and our team will be in touch shortly to help 👍

Hi Jem Wolfenden, I’m glad to mention that now it’s possible to automatically change the status of a project when any of its subitems gets a specific status:
Please, let us know if this solves your case and if you have any additional questions. Thank you!
I love this update, I've been waiting for this flexibility within automation, thank you!!
Great to hear Robyn Jackson 🤗
