Create Task from Email Generated by Another System
Our HR department uses a tool that generates task emails as a new employee is onboarded, and we'd like these emails to go straight to Wrike to generate tasks.
Unfortunately, there doesn't seem to be a custom/randomized email address for anyone to use to email straight into our Wrike. (For example, I can email receipts to my company's expense tool from any email address because the email address before the @ is a random string of characters. Trello has a similar feature.)
As such, the two options I have are:
- Use a Wrike user seat for the HR tool alone so it can send the task to wrike@wrike.com. (This may not be possible, as the no-reply email address from the HR tool would reject any incoming mail from Wrike, making it difficult to establish the account in the first place.)
- Have all tasks come to me, and use an Outlook rule to auto-route them to Wrike.
Is there a more elegant solution that I'm overlooking?
Hi Teddy, not sure this will solve the issue of needing to give Wrike a seat in your HR tool but we are using the ability to email tasks into a specific folder/project to tackle a similar issue on one of our teams. Then using an automation rule to assign them. Might help with part of your use case.

If you are using Outlook, I am assuming then your mail system on the backend is Exchange...? If so, you could place the auto-forward rule at the server level and setup the Wrike email address as an Exchange contact (outside of your staff global address list) for the forwarding rule to send the requests. This takes your personal Outlook rules out of the mix which would only work so long as your account was active.
