Default items opened in project/folder to custom item type rather than generic task

Featured

I would like to default new items that are opened in a project or folder to a custom item type rather than the generic task. For example, I have projects X, Y, and Z and custom item types 1, 2, and 3 already created, and I would like to configure settings that say that when someone opens an item in project X that it defaults to custom item 1, project Y to custom item 2, and project Z to custom item 3. Is this possible, and if so, how do I set that up?

As of this moment, if I create a new item in project X, for example, it defaults to the generic Wrike task, and I have to actively select custom item 1. I would like to cut out the human step of having to remember to select the appropriate custom item for the given project and/or someone having to come behind and convert generic tasks to the appropriate custom item. Thanks!

Hi Perry Moore,

I think is not possibile with actual automation engine. I hope in future we can do this kind of automations.

However, you can create a form, with select populating the custom fields you need, but the user must necessarily enter it by hand or select it from a drop-down menu.

I don't know if is applicable to your needs.

I just ran into the need for this today. I would love to be able to set the default item type in a Space to a custom item type because the CIT has a template in the description that should be applied to all tasks in the Space (we're using the Space for new product development and launch tracking, so the only items added to the Board are new products).

The workaround is to delete the default tasks we accidentally create and then remember to choose the CIT from the dropdown. A nice-to-have request for our use case!

I'd like to add my voice to this - being able to set a default custom task type for a project would be invaluable to us.  It seems like a huge gap in what is otherwise a very good feature.

I'd like to see this as well. Setting default item type by space or project.

I'd like to +1 this suggestion (already upvoted).

In addition to default custom type for a folder, I would like to get the ability to create a column in a table view, based of the custom fields I have in the custom task type.

Example:
I have a custom task type with custom fields for contact information (Name, Phone number etc.)
When I create a new column I can't find those fields in the list to enable.
The only way now would be to create a new custom field on this folder basis, which is not a good option when you want to use this custom task type in several folders.

Regards, Motti

Same here! We went through the process of defining specific item types, but it's a pain in the a** to see random user creating items in the right location, but of the wrong type, it messes everything around, and someone has to change the types every now and then to keep things working...
Thanks for not letting that idea down !

This is exactly my frustration too Nicolas MONNIER - we have spent a lot of time creating detailed custom item types to assist with reporting and we too are having to spend considerable time going back through projects manually and changing the item type on tasks that my users have created.  It's so frustrating and it seems like a huge gap in the Wrike functionality.

Upvoted original post, and commenting to add support for this enhancement request on behalf of my whole team.  We need our Custom Item types to be the default option in our various spaces.  It's absolutely necessary to ensure we enter, track, and evaluate applicable data for each item, and to prevent wasted time & effort backtracking for it later.  Please consider adding this enhancement soon, and thank you so much for listening! :)

Hi folks, thanks a lot for supporting this idea with your comments and votes!

One thing I'd like to ask - how are your users creating new tasks? Because if they are doing it from the main space view (see screenshot), admins should be able to customize which items users can create there:

Not from the main space view.  Typically it would be from inside a project, and usually by adding a new item to the bottom of the table, the gantt, or by creating a new card.  This is a big issue for us too.

This would be a big help in using Gantt Charts, Workflow Charts.

Given that you cannot use automation to change item types (though that is also a request I think would be helpful: https://help.wrike.com/hc/en-us/community/posts/24737991359767-Change-Custom-Item-Type-Using-Automation?page=1#community_comment_29040652175767)

I come across this the most when creating items on a workflow chart. My reporting uses item type to report on a custom item. But I view the workflow chart and sometimes find adding an item on the chart very helpful. But each time I do so, it does not use the preferred custom item type I've selected in a table view, it uses a default task. So I have to remember to create the item, then open, and change item type. This often does not occur because the reason I'm adding an item via workflow chart is when I'm in a meeting reviewing with others and want to quickly add something to a schedule.

So I'd like to be able to select a default item type for creation within a folder. And additionally, set a default item type for a workload chart. Adding to this post since it's very related, but if I should create a new requeste for setting default item type for a workload chart please let me know.

I second this request, and I like to add a suggestion:

Use the customised settings of the "Create New Item" menu also for default items that are created in other ways, e.g. using Alt+Shift+N. Use the first item of the customizable menu as default for new items instead of the generic task.

It shouldn't matter which way you create new items, the result should alwyas be the same!

This feature would work very well together with my other new suggestion: Hand down settings of New Item menu – Wrike Help Center

It seems crazy to me that we can create custom item types but not set them to be the default item type when creating a new item from a table, gantt, calendar view, etc.
It makes the custom item types less useful and causes excess admin work cleaning up the mess unwary users make when doing something as simple as adding a new resource to a resource view.
Creating excess administration in this way really makes me question whether to take Wrike seriously as an Enterprise level project productivity tool.
