We are pleased to be starting another use case discussion, today, letโs see how you can simplify your employee vacation tracking process with Wrikeโs Attendance Tracker template ๐
- Use Case: Attendance Tracker.

- How to launch: From the space creation dialogue.
- Functionality used: Folders, tasks, custom fields, a custom workflow, a request form, a dashboard, a calendar, and a report.
- Whatโs inside: A request form that employees submit to track their attendance, a folder for storing attendance tasks, and tools for tracking attendance.

Attendance Tracker
Employees can use the pre-built request form to submit their vacation requests and include all important information. They will input their name, requested vacation dates, and add any contextual information in the notes box.
Once the request is submitted, it creates a task in the Attendance List folder.ย
This folderโs primary view is the Board where tasks are grouped according to their statuses. The Attendance Tracker template uses a custom workflow called โAttendance Statusโ:
The tasks created upon request form submission are also populated with the pre-built custom fields that represent the attendance status and any comments that an employee has left while filling out the request.

As a company, we use UKG and then each area uses their own tracking as well. Typically a department calendar in Outlook is utilized. If all of our employees were in Wrike, this would be great but only certain areas are in Wrike for now.
We use excel with our team. Our excel also gives people a count of PTO, even though we manage PTO on the honor system, so people know how may PTO days they have allocated.
This is a nice idea that I will share with our team.
Our business units are no more than 7 people to a team, so this is usually worked out within the business unit. If we used Wrike Calendars regularly, I would absolutely push for use of this feature.ย
We use something very similar - except that the request form pull from blueprints, which allow us to be really flexible when it comes to adding extra custom fields(ie, team names, effort etc).
For example, if we want to pull reports on how many Copywriters have submitted time off requests, we can see the total number of hours we expect utilization (billable hours) to be lower during holiday and peak vacation times!
We have unlimited PTO and it's just a quick email to our manager. We have a SharePoint calendar that we typically view on Teams or Outlook that everyone can see. If it is an employee that has limited PTO, we have an "HRIS" system that it's required to use. This would be very nice if we didn't have the systems already in place.

We use a different platformย for attendance and pto. However, I add PTO days in work schedule.
We have a request form like this - it goes to the relevant manager for approval.
This is then blocked out in Wrike and added to a shared calendar.

We submit leave using Workday and have a Teams channel to notify colleagues when we're out.
I like the idea of having it in Wrike, but that's an additional task. ๐ค

Ultimately, our HR department performs many of these functions and they don't work in Wrike. However, our marketing team does use a request form and shared calendar for visibility into planned vacations. We've found it helps us to be more productive by simply looking ahead to see how our projects and tasks are impacted by a person's planned time out of office. So we use a simplified version but it works for us!

As far as I know, my organization is not tracking employee attendance. But good to know Wrike has that capability!

This is interesting, but I don't know if this is something we would be able to use. We typically use Google Calendars to track PTO, or just send an email or Slack if someone is out sick. There are a few key people on our team who are not in Wrike or do not use it regularly so it wouldn't be a feature that would be beneficial to our whole team.ย
I really miss the possibillity to connect wrike calendars with the personal work shedule. It's so annoying that one has to edit this calender manually to block due dates during holidays.

We do not use Wrike for tracking time off. We have multiple units in Wrike who all report to different managers/directors. PTO is requested to direct supervisors and not managed through Wrike. Time off is marked on Outlook Calendars and noted with an away message. This links to Teams to show someone is busy or away. In Wrike, items are re-assigned to others if someone will be gone for an extended period and we need to keep things moving.ย

Hi! Is there a way to track how many total days off an employee has requested/been approved? Our employees all have different # of allotted PTO days per year and it would be would be great to see a real-time report. It feels like this is do-able if you are able to provide some guidance!

You probably have a set up that creates a task or a project once a time-off request is submitted, right? It's possible to create a blueprint or custom item type with a custom field for the number of days requested. In the request form, you can add a "number" type of question where users will add the exact number of days they are requesting, and then map the answer to this question to the custom field on the blueprint/custom item type. After that, you can create a report based on those tasks or project and aggregate the number of days requested by users. Does this help? ๐
