[Use Case Marathon] Week 7 - Kanban Planning and Delivery ๐Ÿ“

Itโ€™s time for our next use case marathon discussion. Letโ€™s talk about Kanban planning with the Board View!

If you need a comprehensive visual approach to your teamโ€™s work and want to ensure everyone is on the same page, Kanban could be a great fit for you.ย 

Real-life example:

Youโ€™re a team lead and need to quickly see your teamโ€™s work in a simpler view with less data. This is especially useful for meetings where work statuses (whatโ€™s in progress and whatโ€™s not started yet) are the most important discussion point. You also need to change task statuses quickly and can do so during these meetings via drag and drop.ย 

Kanban Setup

Start with creating statuses that make sense for the type of work that youโ€™re currently executing. You can use the Kanban workflow:

  • To do: Tasks that are up next - you'll work on them after current tasks are completedย 
  • Doing: Tasks that are in progressย 
  • Done: Completed tasks
  • Backlog: Deferred or on hold tasks
  • Canceled: Tasks that are no longer part of your work but which aren't ready to be deleted

After that, you can start creating projects and breaking down your work into tasks using these statuses, and prioritize your work on the Board View.

We do a form of Kanban planning/board view with our Wrike governance decisions and actions folder. We use a board view to see what is in development, what needs to be reviewed, what is approved, and what has been implemented/completed!

Yep - we primarily use this for larger initiative planning and rolling out Wrike to teams to be able to keep the many stakeholders in the loop about what is going on!

I'm an Agile Coach for a Marketing team and we moved from Scrum to Kanban a few months ago. We were using the Board view when we worked in Sprints and it was perfect, but moving to Kanban within Wrike has presented some challenges.ย 

  • Whenever we add a new task to our "Ready" column (AKA "To Do"), it automatically adds it to the top of the list. (We sort by priority view and a new task becomes the top priority.) To get around this problem, we added a step before Ready called "Needs Prioritized". We only add tasks with this status to the Kanban Board when the work needs to be completed in the next couple of weeks.ย 
  • We don't have a "Backlog" column because we have a few backlogs that are divided by the various industries we support. (Our team isn't big enough to split up and focus on individual industries.) Those backlogs are kept in a "Backlogs" folder. We have a weekly stakeholder meeting with a few key members from Marketing to prioritize the work for the next week. We have a rotating list of goals that we update during that meeting then make sure it matches with what's up next in the Ready column. We try not to have more than 30 tasks in the Ready column because priorities can shift quickly and it takes more time to move tasks to the correct priority position.

Our situation might be a bit unique where we have a single product that is used by a minimum of four different industries and we have multiple product owners, so the weekly prioritization meeting is kind of like a scrum of scrums where we bring the right people together to build the backlog on the Kanban Board that the team uses daily. It took us almost 4 months to evolve the process into something manageable. It's definitely not perfect but we're finding a way to make it work.
