Archived Space/Folder Dashboard Permissions

Hello Wrike Community!

I wanted to suggest a feature that may help some of you as well as ourselves. When looking at the archive feature in Wrike, it does not currently hide tasks or projects from your dashboard or to-do list even when archived. Below are the areas these tasks/projects appear.

  • My Overdue Tasks
  • Starred Tasks
  • Tasks assigned to me
  • To Do Today/this week
  • Overdue Tasks I created
  • Tasks I follow
  • My pending reviews
  • my backlog
  • conflicts monitor
  • Activity stream

My suggestion would be when folders or spaces are archived, they are excluded from these locations. For instance, if for some reason a project still has open tasks or if you are importing 100's of projects with 1000's of tasks from another PM software during Migration you can easily hide these old tasks and projects from these views simply by archiving them. This would eliminate the need of having to go through every project and mass edit your 1000+ tasks.

Let me know your thoughts!

I TOTALLY agree!  Onced Archived, these should not show up as current To-Dos.

Hey guys, thanks a lot for suggesting and supporting the proposed functionality! I've checked with the team - they find this suggestion interesting and they'll definitely keep it on their radar and monitor its popularity. I'll let you know if there are any updates from the team 🙂

I agree! Similarly interested in being able to easily exclude archived tasks from reports. Per recommendation from Wrike folks, we have a z_Archive folder in each of our spaces. That means there's not easy way to report on all projects or tasks in a space, while excluding tasks in the archive.

It seems like it's Wrike best practice to have an archive folder, but there's not yet any built-in programming to differentiate how an archive folder functions. It'd be great to see more of that! Why have a "z_Archive" folder in each space when each space could automatically have an "Archive" folder that shows up at the bottom?

Hi again, everyone! I was thinking about this use-case again, and I wanted to ask you - do you use any statuses to designate the tasks that need to be archived? I'm asking because it's possible to set up an automation rule that, for example, any tasks in a space that change the status to "canceled" are moved to the Archive folder automatically, For dashboards and reports, you can filter out the canceled tasks. Please let me know what you think!

1000% upvote! We need a better archive. Dumping to a "z_archive" folder or an archived space doesn't really help if it's still cluttering to-do lists and searches. I would also suggest that, when searching, archive is off by default and that you add a "search archive" toggle option.

Lisa, I like the "canceled" automate archive idea, but would suggest that, instead, you add a new "archive" category to workflows. I would LOVE, LOVE, LOVE the ability to archive a project/folder/task with a status dropdown, but I can see were some might have other needs to keep a "canceled" view before they are ready to archive.
