Emailing people who submit request forms from Wrike

After someone submits a request form, how can I email them within Wrike to communicate about the project. I see that if they upload a document of any kind I can make them a reviewer and add a note, but if they don't, I see no way to communicate to them within Wrike about the status of their project. This is important because we usually have people with multiple requests at the same time and they may not know what project we are talking about if we just email then questions or comments. Thanks.

I have templates attached to each request form that build the project and I @mention the submitter with questions within each specific project.  Do your submitters have access to Wrike as collaborators or with a license?  If they do you can @mention them that way.  If not you can add them as a collaborator on each project they are part of.

You're welcome!  Collaborators do not need a paid license.

FYI - collaborator licenses do have a limit... at least of my writing. Our Wrike representative contacted us about our "overdraft" of collaborator licenses. 

They have been unable to provide any other way for us to communicate with customers, and now are attempting to charge $9/month for each customer we are communicating with.

You are correct, as stated in our Terms of Service, if a Customer purchased a Professional, Business, Wrike for Marketers, Pinnacle, or Enterprise version of the Services Customer will have access to the Collaborators license. At all times, the number of Collaborators should be limited to the greater of 20 Users or 15% of the number of actual paid license Users licenses for the applicable term.

Thanks for the followup Lisa --- it's a fairly important point for Wrike customers to note. 

For example, many businesses may have a representative to customer ratio closer to 1/1000 or less. 

If you're wanting to use wrike to manage requests and projects related to customer requests you might end up paying $30/month for your support representative and a laughable $9000/month to talk to your customers 🤑.

Pretty clearly, if this is your use case, the current Wrike license structure is not the right fit for you.

My frustration is that all the Wrike documentation says that the collaborator license is Free* and you have to dig into the TOS to get the actual cost. It's purposefully misleading.... and it's as if you paid $6/month for your Google Workspace account, and then paid separately for each person you emailed. It doesn't make sense.


Either Wrike needs to allow for unlimited collaborator licenses, or they need to add a feature so that Wrike Users can correspond to customers who submit request forms for free.

We're scoping a potential Wrike Integrate solution with SharePoint to push submissions and details back out to a SharePoint site where our clients can review status, details, etc and hopefully we'll be able to build it with a comments field that would sync between applications.  Just putting together the business case to begin discovery, so we're early in the process.
