Project Templates with Assignee

We have created templates (including up to 20 tasks) for campaigns that require the same process each project. Certain team members are always assigned to certain tasks (i.e. paid advertising). Because team members are assigned within the template, they have a task "to do." If they mark it complete, the task (within the template) will be marked as complete even when duplicated in new projects. Is there a workaround to have team members assigned to the template without those assigned tasks (within the template) showing up in their workload?

Hi Stefani. If I'm reading correctly, your team is seeing the template tasks in their workload? To prevent that, mark the template tasks as On Hold, or if you are using a specific workflow for this template, create an On Hold status and assign it to the template tasks. I hope that helps.

Thanks Marjorie. My only hesitation with using that method is that when a new project is assigned (using the template), all of those tasks will be marked as "On Hold" and we will have to manually go in and mark as "New." Is that correct?

Actually, no. it automatically activates the tasks and assigns them the first status of the assigned workflow. :D

When i'm not sure if something will work or not, I test it. It's important that the assigned workflow have a Deferred status available.

Screen shots of my test:

First, I made sure i had the proper workflow assigned to the project, and set the tasks to the deferred status of Not Ready Yet. Note that the Active status starts with Assigned.

Test Project Template ready for duplication:

Duplicating (it doesn't show, but i moved the start dates by Rescheduling the new start date to Nov 21.

I named the project, told it which Folder to go into, added a task prefix, selected specific items to carry over, and then pressed Duplicate.

This is the Result. It changed the date, and set the tasks to Active and assigned. 

 

I suggest you create a Request form that does the duplicating for you much faster. I have one that automatically sets our Monthly Advertising Budget Recon project, I just have to enter the Due Date and the Month, and everything is created and placed in the right folder. Such a time saver. And very convenient, as my Assistant has a bit of a struggle with duplicating projects. We've had to delete multiple mistakes. lol.

We use nearly identical methods as Marjorie describes above, including the request form.  I was having the same issue with our project managers making mistakes when the template was duplicated.
