Email/Notifications to a group on Request Forms
Hi,
My team and I are making an intern request form (similar to a miniature, internal job board for the interns) and we'd like there to be some sort of notification that is sent out to the interns every time a new request is submitted.
I was wondering if there is a way to assign a large group of people to Follow a request form, or any way that the entire group can get notifications without each individual having to set the preference manually?
And if there isn't functionality allowing a group/team to be assigned to follow something, it might be a useful tool to consider adding!
Thank you,
Caitlin
Hi Caitlin, I hope I fully understand what you're looking to do. Basically, create a Request form so people within the company can create tasks for the interns to work on?
If you have a large group of people you want to review tasks, then we always suggest having one/two persons in a sort of 'admin' role for the Folder the requests land in. This reduces confusion about who should be doing what and helps getting things done.
This person can @mention User Groups, so if all the interns need to following these tasks then this one/two interns can be in charge of incoming tasks, and @mentioning the Intern Group.
Hope this helps! Let me know if I've misunderstood what you're looking to achieve here 🙂
I think this is related–is there a way to notify specific people of all incoming tasks created by the request form?
I want our Office Manager to be notified every time a request comes in, but I don't want them to be assigned to the task, and I don't want to create an approval either.
Is there another option for them to be notified so they know a new task was added through the request form?
Hi Nicole S, thank you for sharing your use case with us. You could create an automation rule to @mention the relevant user when a task/project is created in a specific location (which should be the location where the item would be created upon request submission):

I hope this information helps!
