๐ Creating visibility for stakeholders without giving full access
One of the questions we often faced when we started using Wrike was:
โHow can Brand Managers see progress without needing to learn the whole platform or having editing access?โ
Our solution was to use a combination of:
-
Cross-tagging tasks into a shared Marketing Space by brand
-
View-only permissions so stakeholders can follow progress without changing anything
-
Dashboards tailored to each brand, showing tasks by status, priority, and due date
This setup has worked really well. Brand Managers get full visibility over their projects, without needing to join every discussion or navigate team-specific spaces. It also reduces update requests via email or chat, since they can check statuses anytime.
Question for the community:
How do you give visibility to stakeholders in Wrike without overwhelming them? Any views or permission settings that have worked well for you?
Paula Barrientos, you're already well on your way! View-only access is essential, as you mentioned.
You can also consider shared calendars for major campaigns or deliverables to give stakeholders a visual timeline. Great for those who prefer to see the big picture.
Another tip - We avoid @mentioning stakeholders unless an action is truly needed. For executives, Iโve also used automated weekly reports filtered to show โKey Milestonesโ or โDelayed Tasksโ delivered straight to their inbox.
