Wrike for Onboarding

I’m Marisol, part of the Solution Innovation team at Wrike, and right now, we’re exploring how teams are using Wrike for onboarding purposes — and how we can improve that experience to better support your goals.
We know that having a smooth and structured onboarding process sets the tone for a new employee’s success. I’d love to learn from your experiences and gather insights on how you’re currently managing new hire onboarding in Wrike.

Hi everyone,
Currently our onboarding process for Wrike looks like this;
Things that are working- having a knowledge base with pages on our best practice and how we use Wrike e.g. explaining our naming conventions, custom fields and request intake process. I also have an FAQs page for common queries and instructions on how to update personal settings and other hints and tips. I reference these pages often – not just for onboarding and new users.
I feel it has helped to customise training and how to guides for our particular use, this compliments the training run by Wrike and helps with new team members setting things up in the correct way from the start.

Happy to share our experience using Wrike for onboarding.
• Are you currently using Wrike for any type of onboarding process? If so, what does that look like?
Yes, we use Wrike to support our new hire onboarding process. We’ve set up a dedicated onboarding project template that includes all essential tasks grouped by week (e.g., Week 1: Equipment setup, Week 2: Systems access, Week 3: Role-specific training). Each new employee gets a copy of the onboarding template assigned to their manager and relevant departments.
• Which Wrike features (e.g., blueprints, request forms, dashboards, automations) have been the most helpful for onboarding?
Blueprints are essential — we’ve built reusable templates to streamline onboarding for different roles. Request forms have also been useful for triggering onboarding workflows when a new hire is confirmed. Dashboards help managers track progress, and automations ensure task reminders and status updates are sent without manual follow-up.
• Have you customized any workflows to support your onboarding tasks? How is that working for your team?
Yes, we’ve tailored workflows to include stages like “Pending Setup,” “In Progress,” “Awaiting Input,” and “Completed.” It’s working well — the visual progress tracking has improved accountability, and everyone involved knows exactly where each task stands.
• What challenges or pain points have you faced when trying to build or maintain onboarding flows in Wrike?
One challenge is ensuring the right level of customization for different departments without duplicating too many templates. It can also be tricky to manage ownership when onboarding involves multiple teams (e.g., IT, HR, team leads). We sometimes find that tasks fall through if not properly reassigned.
• Is there something you wish Wrike could do better when it comes to onboarding in an HR context?
It would be helpful if Wrike had more HR-specific onboarding blueprints or templates to use as a starting point. Also, having more native integration with HR systems (e.g., BambooHR, Workday) could reduce duplication of effort when entering employee details.
• Any tips or success stories you’d like to share with others exploring onboarding in Wrike?
Start simple, then iterate. We began with a basic checklist and gradually built it into a full onboarding template with workflows, automations, and dashboards. Getting feedback from managers after each onboarding cycle helped us fine-tune the process. Also, using request forms to kick off the onboarding process ensures consistency across teams.
No - we are just starting with Wrike and would like to branch it out more to the Organisation but the cost is a little too much for the board to take. We would like to roll it out org wide if we had our choice. We will look at our own little onboarding process once we find some time in between tasks. We are using Wrike to create tasks that are assisting with this onboarding process but it is org wide - not just our team.
Guess this makes the rest of the questions not answerable but hope that in the future we can really get into this space.
We currently use Wrike for onboarding. Last year, I created two blueprints: one for regular users and another for collaborators. Within these blueprints, step-by-step instructions guide new users on how to use Wrike effectively. There are also specific tasks that explain how we have tailored Wrike for our Strategic Marketing department.
When a new hire joins, their manager submits a form to add them to Wrike. This form specifies the license type, spaces to be added, and contact information. Based on these details, the new user is assigned a blueprint containing tasks that range from basic to intermediate.
Although maintaining these blueprints is time-consuming, I keep them updated with helpful tips and tutorial videos from Wrike’s YouTube channel.
I have not customized any onboarding workflows so far, but I would love to have a dashboard template that can be assigned to all new users.
I'm currently working with our HR team to start developing a Wrike onboarding process to streamline a variety of tasks, as well as familiarize new staff with the platform. This forum will serve to help me for sure!
We use Wrike for Onboarding within our Team. We have an Onboarding project/checklist blueprint that we create in addition to an Onboarding Presentation PowerPoint. The new Team Member is introduced Wrike on their first day as the Team Member and their Leader complete tasks. This gives the new Team Member experience with Wrike right away. There are 16 overall tasks with most of them to be completed within the first 2 weeks. Some of the tasks are: HR Onboarding, Hardware & System Access, the Onboarding deck, Intranet information, Next 2 weeks, 30/60/90 Day Expectations, Welcome Discussions to schedule, Wrike Training, Company Training, and 30/60/90 Day check-ins.

One of our issues with onboarding into Wrike is that we cannot change a lot of the User Settings at the invite stage. We have to wait until user accepts the Wrike invite and then update things like their user custom fields and work schedules. It would be nice to be able to do this when we set up the invite
