make only certain tasks visible in timesheet

Hello Wrike community,
Problem: Too many tasks are shown in the item search in the timesheet.
We are facing the challenge within our company, that we have a wide variety of detailed tasks within a project (that we also would like to plan on a daily level.) However, the time management (i.e. booking hours in timesheet) is happening on a higher level (project phase level, which can take months, or years).
When users are trying to book their hours, they cannot find the correct tasks since it is overloaded with smaller tasks for that project (tasks descriptions within the project start with the same project number).
Currently the users need to book their hours via the project itself (see screenshot below).
In that way it appears on their timesheets, and then they can pin this tasks (it will come back several weeks / months).

This is a time consuming workaround if you have up to 30 tasks in your time sheet. This leads to a lot of frustration among the users since they need to book all their spent time in the timesheets.
Is it possible to make only certain tasks visible in the timesheet?
Are other people facing the same challenge?
Is there another solution that we can consider?

I cannot imagine that nobody in the Wrike community is facing the same challenge?

Hi Bas Rijks,
I think I didn't understand your need at 100%.
Should you explain the information flow better and show us what happens?

You could also use the dashboard to filter certain types of activities.

Hi Bas Rijks! 🙋🏻‍♀️

Thank you for bringing this up. There are a few potential approaches you might consider:

  1. Disabling the Prefill Function: This option removes automatically assigned tasks from the timesheets, allowing only manually added tasks or those with existing time entries to be displayed. This might help streamline what users see.
  2. Time Tracking Tasks: Consider creating a dedicated 'time tracking' task for each project where hours can be logged. Alternatively, you can create a single, larger 'time tracking' task that's not specific to any project but uses categories for time tracking. This could help reduce the number of tasks appearing in users' timesheets.

Unfortunately, project-level time tracking isn't currently supported in Wrike, but adjusting your process as suggested might help.

I hope these suggestions are useful, and I'm eager to see if others in the community have found any additional solutions effective. 😊

Hello Basudha,

Thanks for your suggestion.

Could you please explain me how we could disable the prefill functionality?

Maybe this could be a work around.

thanks,

Bas
