Turning booked effort into task effort

Hi,

We're starting to use booked effort to reserve employee time for projects that are specced only at a high level at this point.

My question is, what's the usual process to "convert" booked effort to task effort?

Say we have a project that we know is going to take about 100hours to deliver.  I have booked two people to the project at 50 hours each and this is appearing in their workload plans.  All good.

At some point in the future we write the detailed proposal for the project which contains a list of all the individual tasks and their dates and times.  I assign the two people that were booked to the project to these tasks and now their workload plan is showing them as over resourced.  Do I simply delete the booked effort or is there a more intelligent way of consuming the booked time and transforming it into task time?  Am I overthinking this?

Thanks!

Phil Taylor firstly, well done on expanding your use of Wrike and trying on new features. Good news is that you have already figured it out: it is just a matter of deleting the booking.
A couple of additional pointers

  • when a user has both booked effort and task effort on the same date, when you look at the workload chart, Wrike will consider the higher value. So if you have 5h of booked effort and 4h of effort, chart should show 5 (i.e. not 9 which is overbooked)
  • rather than bookings, you could use tasks with some effort and dates. tasks do give you more flexibility (e.g. you can have more than one per resource whereas you can only have one booking) but they do come with consequences: assignees will be notified, tasks will show in views, they count towards progress, etc

I hope this clears some of your questions.

It would be amazing to have booked effort automatically expire as the calendar rolls dates thereby analytics will only show effort without the additional "booked work" coming into play... I looked into automation but did not find a path forward for this.

Hi Jeffrey Bond 👋 thank you for sharing your suggestion. Currently, there is no direct feature or automation rule in Wrike that allows booked effort to automatically expire or be removed as dates roll over. Please feel free to submit this suggestion in our Product Feedback Forum so that other Wrikers looking for the same functionality can upvote it, and it can reach our Product Team.

If there are any developments in this area in the coming days, I'll be sure to provide you with an update 👍
