Any way for a status change to trigger event?

Does anyone know if there's a way to make a status change trigger a data change in the same task? For example if i change status in a task it will change the data in a different column on the same task automatically.

Thankful for any help i can get here.

Hi Jonny! There's no way to trigger an automatic update, but I would love to hear about your use case to learn more about what you are trying to achieve. I'll be happy to think up some suggestions based on this!

It would be nice to generate an Inbox message on specific status messages.  This would alert people that something has changed.  To do this you would need to develop a watcher type association for a resource so that any watchers could see changes to a project or folder.  I do not want to use Owner for sure since I only assign one owner so I can calculate cost for a project.

Great!  Jira does something like this and we find it very useful so we can watch for status changes!

So I had a case today where automation would really help us.  We have projects that have a budget and often times the project starts going over budget.  Right now I have no idea that this has happened until I run a report every week and see that this has happened.  It would be nice to have me and or any project people be alerted to 90% of budget, 100%, Over Budget!

Since our projects are in the 16-50hr range - little overages start killing us.  Right now I have no visibility unless I watch it like a hawk.

@Anastasia I would ask your product team to add a trigger in Zapier for 'on field change' ('changed to...' would be great too). If that existed then any number of messaging apps like Slack could send a notification, or lots of other actions could be performed.

Has there been any news on this. I think that introducing features such as triggers for alerts/notifications would be a huge asset to projects. Currently I can delegate out tasks, but if they're on a dependency chain, it would be great if the completion or update of the previous task would send a notification to the owner of the following task automatically so that they can forecast ahead. There are so many benefits of including this to create a system similar to that of a SharePoint Workflow to automate lots of tasks.

Hi @Anastasia,

I'd like to add another related suggestion. It would be great if marking Task A Completed could automatically trigger a status change for its dependent tasks (Task B, for example). So Task B is "Deferred" until I mark Task A "Completed," which changes Task B's status to "Active" (making it show up on my colleague's Dashboard).

One use case for this would be email projects that my team works on. Our content person gathers and finalizes all the copy, assets, etc. (which can sometimes go over the time budget), and once they're done, our coders put together the HTML, landing pages, etc. The coders don't want to see "code email" show up on their Dashboards until the content is finalized and they can actually start coding. I can manually update dates and statuses, but it would be much more efficient to have these status changes happen automatically.

I would like to see certain workflow statuses linked to groups or specific users. That way when the status moves from "propose" to say "quote" to "installation" the correct departments get involved at the right times.

Hello, have there been any updates on a Zapier trigger for changes to a current task? 

Currently, this only triggers when a task is created, but it's just as important to have the trigger occur upon an update to a task.

We are looking for a way to tie a person to a workflow status. So when a certain workflow is selected, it auto-assigns the task to that person.

Hi all, great news 🎉

You can now have an assignee(s) automatically added to a task based on a task's status. Keep in mind, current assignees are not removed and when a task is assigned to someone, they automatically have access to the task.

I just did a quick test of this new feature and had a question. Is there a way to ensure that only one of the multiple users that have been configured to the status are assigned to the task? Basically, within our organization, we try to assign one task to only one person at any point in time.
 
If above is not possible I'm not sure what the benefit of the auto-assign feature will be. I'd have to create a different status flow (albeit with the same statuses) for every different assignment combination I have within my team. This will mean a very large number of Custom Status sets that will be difficult to manage.
 
Alternatively, is there a way to auto-assign User Groups? That may help me bring the ability to having logic associated with status changes.

Hi Prashanth, assigning to one person at a time is a good best practice (for most situations). Can you let me know if I'm getting this correct: you would like to be able to pre-assign multiple people to a status, but then when the user selects the status have only one person assigned? If that is right, I would love to know a little more about your use case. I think there may be multiple potential people who can do a job, but only one of them ultimately has to do it. How is that person determined?

Right now there is no way to assign User Groups, but we do have a request for that functionality. If you could +1 David's request that would be very helpful.

Simple Business Rules would be powerful. Otherwise, we have to resort to expensive external integration engines. For example, Assign on Status change is fairly useless in a dynamic environment since we have to make a static selection
