Resource Allocation Filtering Issues

I am from a marketing agency with a variety of contracts. We use resource allocation to determine how much capacity each of our employees has at a given time to determine when we should take on new contracts.

We have multiple workload charts --

  1. Clients Active: This just shows contracts that are active and have been signed.
  2. Proposals: This just shows anything that is in the business development stage that has not been signed or confirmed.
  3. Combined chart

We like to have the proposals chart to determine how our current proposals could impact team member capacity in the future. Clients Active pulls only from the clients active space and proposals pulls just from the proposals folder. The problem is that on the clients active chart, it totals the correct number of hours from the clients active space, but the legend (i.e when it turns red due to over allocation) reflects effort from both Clients Active AND proposals, when it should only be taking into account allocated resources in the Clients Active space. We have worked with a Wrike representative and they have basically said thats how the product is designed and there isn't really a solution.

For now, we have created "Roles" with each of our team members names, and allocated all of the prospective allocation for each team member to that role. For example, we have a Proposal that comes in that I will have resources allocated for me. Those hours do not get assigned to me as a user, but rather the roles that we created with my name as the title. Then if the contract is confirmed and signed, we will move the project into the clients active space and switch the resources to my actual user account. This solved the legend issue on the Clients Active chart. But we can now no longer have a proposals chart or Clients Active + Proposals because you can't filter for roles in workload charts.

Has anyone had similar issues? Any solutions ideas that are more permanent?

Hi Matthew Wadman, thank you very much for sharing your use case with the Community. I see that, as you mentioned, one of our Support experts has been assisting you with this. Please feel free to reply to their last message if you are still uncertain about any points regarding this feature.

I understand why your suggestion about being able to filter by job roles would be useful and I have passed it on to our Product Team 👍 As pointed out by our Support agents, you can filter by job roles in the backlog box, but not directly in the Workload chart.

What type of report or dashboard can I make right now with job roles? It is the only way we can allocate upcoming resources but I cannot find a single report/dashboard that will show me them altogether.

Hi Chelsea Janke, thank you for chiming in. Do I understand correctly that you would like to create a report or dashboard based on job roles but not on users with these job roles assigned?

Please, feel free to share any additional details about your use case so that we can provide you with an accurate reply 👍

Thank you!
