Approval Enhancement Ideas: specify approvers when task is created, automatically assign approvers when new file is added for review
Hello all! Our team has been brainstorming ways that approvals could be improved in Wrike. Our idea is to add the ability to assign approvers to a new section at the task level along with the assignees. Just like you have an assignee, there would be a new section right next to it called Approvers. Why is this needed?
- The assignee is the one actually doing the work for the task whereas the approver is simply reviewing and approving. Currently, if we assign the approver to the task (to make them aware they will need to review once the file is ready and so the assignee knows who to assign as the approver), they see it in their to-do's even though they are not actually working on the task, they're simply reviewing. That's why if this new section at the top could be added, then approvers would no longer see tasks in their to to-do's, only in their approvals. This would then clear up approvers task/to-do lists incredibly.
- Secondly, this would then alleviate the problem where you have to manually select approvers each time you upload a file for review. As part of this enhancement, we would like to see the ability for new files to automatically be assigned to those approvers so that the only item users have to select when creating an approval is a due date. No more selecting approvers each time you upload a file and no more worrying about selecting the correct people. To be clear, this would be different than task Approvals because with task approvals you still have to select approvers each time you start an approval. We want to be able to specify the approvers when creating the task, so that when our team needs to start the actual approval, it can automatically pull those individuals (approvers) for the user without having to select them each time.
- Lastly, while this could be a future addition, I think something that could take Wrike and approvals to that next level would be a feature that would automatically copy the file to the next task and assign the approvers listed on that task. Even if it was just a checkbox that the user could select. For instance, let's say I have a design task. Our lead designer approves the file and finishes the approval. If there are approvers listed on the next task, it would copy the approved file to that next task and assign any approvers listed on that task and set the due date of the approval to the date of the task. This would alleviate file approvals getting stuck waiting to be moved and could ultimately see project completion times increased significantly.

Great ideas! I especially like the 3rd point about transferring files to the next task. I would like to add that it should only transfer APPROVED files to the next level. That way unapproved files will stay within the previous tasks to avoid any potential confusion of which version to proceed with.
