"View As" Feature

I'm using Wrike to work on a large-scale programme with a number of external collaborators with some confidential information. This can often make it difficult to work out or remember what some collaborators can see, and some can't. It would be great to have a "View As" features so that an administrator can see the project from each individual user's view. This way I don't have to sit there and open every folder, project and task to try and get an understanding of what they can and cannot view. For example if we want to save a contract into one of the tasks for one collaborator to be able to see, I want to easily see whether another has access, which is currently a pain to click through all of the sharing details.

Hey David, thanks for sharing this idea! Sorry about taking a while to comment here, I really think this is an interesting idea and see how it could be useful to have a building/setup mode to see how things are turning out. Apart from "View As", are there any other similar features you'd be interested in? Your post reminded me of another one, about a "Planning/Template" Mode, and I thought you might like that one too. :)

Hi Anastasia,

I think this request is quite different to the Planning/Template Mode feature, although I do also think that would be useful as the templates do mess things up a little at present. This is more about understanding sharing and data privacy issues, where the feature would be similar to LinkedIn or Facebook where you can see how other users see your profile. This however would be taking the viewpoint from other users of all the documentation. It only really became apparent to me when I looked at the account from another user's screen and saw what little they could see of the programme... this is a good thing in many cases but doesn't sell the features very well. Similarly as pointed out above, it's difficult to get a quick understanding of what certain users can see.

David, thanks for following up! I do agree that the requests are completely different, just wanted to share that with you since I think various pre-launch/planning features could tie in well together. Thank you for sharing the additional info, that brought me to a workaround which might help in the meantime, depending on how you group Collaborators. By creating a "Collaborator" User Group, you can share certain Folders/Projects with the group(s) instead of individuals. Adding a dummy Collaborator to this group will allow you to quickly log in and see what is visible in the Workspace. This can be done for one or several User Groups, and though it isn't the ideal solution, it at least allows a sort of "View As" mode without trying to imagine what is visible and what isn't. Happy to hear your thoughts on this!

I agree, but perhaps for a different reason at this point: I'm new to Wrike and find it difficult to wrap my head around all of the ways I can assign access / give permissions for tasks, projects and folders. Past a point, I'm not sure who has access to what.

Is this really a feature that is only available to enterprise users? It's a standard feature in teamwork.com. Hope Wrike will reconsider some of it's features for enterprise users that don't seem to be "enterprise" worthy.

Hi @Peter, thanks for reaching out and sorry for the long reply here!

The ability to log in as another user is an advanced security option available on Enterprise accounts. This subscription type also comes with other features, please check them out here if you're interested, and I'll be happy to discuss any questions.
