Adding custom fields to existing projects

I just learned about custom fields. Now that I've implemented it in our template, is there a way to roll those custom fields into existing projects?

Hi Jenn :) Custom Fields are fantastic! Yes, you can add any Custom Field you've created to an existing Project/Folder. To do that:

  1. Open the Folder or Project where you want to add the field.
  2. Switch to the Table View.
  3. Click the + button that appears on the far right-hand side (it's the same one you use to create new Custom Fields).
  4. Type the name of the Custom Field you want to add and then select it from the list when it appears.

Let me know if that helps or if you were trying to do something else with the fields.

Thanks Stephanie. That part I've already got done. What I'm trying to figure out is for projects that were created BEFORE I added that custom field. Is there a way to get that custom field in projects that were already underway and now need to have that custom field as part of their project for reporting purposes.

Hi Jenn, yes definitely, you just need to go back and add the existing Field to the Projects that don't have it. You're going to go to the Project where you want to add the field and click the "+" icon (as if you're going to create a new field). However, instead of creating a new field, you're going to select the existing field from the dropdown. You can start typing the field's name in the field to filter the results until the field you're looking for appears. 

Then you'll have your Custom Field added to your old Projects.

I was afraid you were going to say that. I don't suppose there's a bulk way to do that. We have 250 unique projects in Wrike.

Ah okay. I'm sorry, no there isn't a way to mass add Custom Fields to multiple Projects at a time. I am here ready to celebrate with you when it's done though.

can we make the fields visible to all users? It appears that each user has to go and add the fields in the table view before they can see them, even though I have already added them in my view and entered data.

Hi Grant, do you mean they need to click the gear icon and choose what they see? This is a personal visibility option. The Custom Fields are shared with them, it's their choice to auto-select the ones to display.

If I've misunderstood, please let me know 👍

So my understanding from this thread is that there is no way to bulk add custom fields to existing projects.

And furthermore, each user has to manually add the custom fields to each project they are involved with (using the list view) so that they can see them. This setting appears to be project specific.

Is there any way to have projects automatically add the custom views to everyone's visibility?

Hi Grant, the individual visibility is down to the user. Often users don't need to see all custom field so there's an option for them to remove some irrelevant to them. However, once the Custom Field has been shared with them, by default they will see this in the task view on Projects where the Custom field has been applied.

We're currently working on enhancements to CF management - have you seen our new Custom Field management? It would be great to hear your ideas in our Product Feedback section around this new ability if you have some ideas.
