Overview

Wrike’s automation feature is a simple way to reduce repetitive manual work, speed up your processes, and minimize human error. With automation, you and your team can automate various actions within your account and spaces, removing the need for you to handle everything manually.

Automation is easy to use and doesn’t require any coding experience to create the automation rules. The rules have a simple “WHEN ..., THEN …” structure. The automation rule constructor guides you through the rule creation process.

By default, on the New Team plan you can apply automation to both tasks type items and projects type items. All you need to do is let Wrike know:

  • WHEN: Specify when to trigger the rule.

  • IF: Add additional conditions for the trigger to meet before the rule is activated.

  • THEN: Define the action that should occur when the rule is triggered.

Creating Automation rules

In Wrike's New Team plan, you can create automation rules at both the space level and account level.

Account owners and admins can create new automation rules for their account and their users.Space admins can add new automation rules for their space. Once the rule is created, admins of this space can edit, delete it, or turn it on and off.

  1. To create a account-level automation rule:

    • Click on the profile image 1 in the sidebar.

    • Select Settings 2 from the drop-down menu.

    • In the left-hand navigation panel, select Automation 3 under Account Management.

    • Click Create automation rule 4.

  2. To create a space-level automation rule:

    • Navigate to a space where you would like to create an automation rule.

    • Click Automation 1 in the top-right corner of the view.

      OR

      Click the gear icon 2 next to the space overview to access the space settings, then switch to the Automation tab 3.

    • If you are creating your first rule, click on Create automation rule. Or click + Add rule 4 if you already have rules in this space.

  3. In the pop-up that appears, choose an automation template from the list 1, or click + Custom rule 2 if you want to create a new rule.

  4. In the rule constructor that opens:

    • Specify the name for this rule (optional). By default, the title is filled in automatically and consists of the names of its trigger and action 3.

    • Select the type of the item the rule applies to 4.

    • Select the type of the location the rule applies to 5.

      Note

      If you've chosen a specific location, select the folder or project where this rule will apply.

    • Select and set up one of the available triggers (When this happens...) 6.

    • Add one or more conditions to your trigger (And If…) 7.

    • Select and set up one or more of the available actions 8. You can add up to 10 actions to the rule.

  5. Click Create 9.

Your rule is created! And once it’s triggered, it’ll automatically perform the action that you set up.

Editing, Deleting, and Disabling Automation rules

Once the rule is created, all admins of the space and account admins can edit, delete it, or turn it on and off.

  1. Navigate to the space-level or account-level automation tab through the steps described above.

  2. Find the relevant rule and:

    • Click on it to open the rule constructor. From here, you can edit the rule. Click Done to save changes.

    • Switch the toggle button 1 next to the rule's name to turn it on or off. You can also right-click the rule and select to turn it on or off 2.

    • Right-click a rule and select Delete 3 to delete the rule from your space or account.
