User-based Status Privileges
Would it be possible to allow certain workflow statuses selections based on the user/collaborators user identity, group or role?
For example: "Workflow 01" has a status, "Approved 01," that only specific users can select.
Thanks a lot for posting your suggestion here Andrew Goddard! Could you share more detail on your use case on why you'd need this functionality?

We use tasks and projects as collaborative environment for individuals and groups, each party performing a function after another user or group's action. Allowing only specified individuals or groups to change a task or project's status to certain statuses would help keep the parties in their own respective lane.
Another example: Someone changes that task status to "Please Proofread". From that point, a proofreader might be one of the task's assignees who has the ability to set the status to "Proofreading finished".
Thank you for the detailed reply Andrew Goddard! I can definitely see how this would be useful! For now, I would suggest exploring Access Roles if you haven't yet and limit a user's ability to change statuses in certain folders, projects, or spaces. Another solution would be to use fixed workflow transitions and auto-assigning tasks based on Workflow status. Could you tell me if you've tried using these options?

Thank you Lisa for that feedback. I am aware and employ or have employed each of those features but I believe they're not as flexible as what I am proposing.
Got you Andrew Goddard, thank you for letting me know!
Your suggestion has been passed to the Product team 👍

This feature would be incredibly useful for our team as well.
In our workflow, there are specific statuses that should only be used by the Quality Control team, but we often see other users mistakenly moving tasks into those statuses. This creates confusion and misalignment in our processes.
At the moment, there’s no way to restrict access to those statuses, and this limitation affects the reliability of our workflow. A system that allows status transitions to be limited to certain users or user groups would solve the issue and improve accuracy across teams.
I believe many other users could benefit from this feature too, especially in structured environments where approval steps or quality checks are involved.
Thanks for bringing this up – fully supporting this request!
I see that this suggestion from Andrew Goddard has been made some years ago. Lisa there's been some relevant updates in these last years? 🙏🏼
Hi Giovanni De Giovanni, jumping in for Lisa here.
Thank you for supporting Andrew’s suggestion and for further detailing how this can benefit your work.
At the moment, there’s no new update to share. I understand that this feature would be helpful for some other Wrike users as well, so I will pass your feedback along to the Product Team. If there are any developments in the coming months, we’ll be sure to post an update 👍

Hi all,
I'm adding my interest in this feature request, warming up the old thread here.
Our use-case is mainly covered by the above mentioned. However some details might help:
1. Our projects contain gates, which may only be confirmed by the "responsible project manager". Any workaround would either affect the team no longer being able to change a regular tasks status or would assign the approval to "all project managers" (which is for sure confusing).
2. If our quality team decides to prove one process step in a specific project, they would like to control that via workflow status. They could impose an approval in addition but that is less convenient.
Thanks for considering this.
Raimund
Thanks for sharing the details, Raimund Dienst. I will pass your feedback along to our team. 😊👍🏽
