Can you send an email externally once a task has been completed?

I have external forms and our client is asking if we can send external emails once a job is closed...is this possible?

@Amber, I'm not sure what you are asking. Do you mean will Wrike automatically notify the person that completed the External Form once the task/project is closed?  If that is the question, i'm pretty sure it will not.  😃

Hi Amber, Marj is correct here. This does not happen - imagine you completed the task in error, then an auto-mail would be sent which might cause confusion.

I've seen two workarounds I like:

1. For a big project: Make the client a Collaborator.

  • If you don't want the Collaborator to see the progress of the task as it's been worked on, then you could set up a new Folder, duplicate their Request task in there and share only that Folder with them.
  • Then when the original request task is complete or in different Statuses, you can go to Client's Folder and update the duplicate task's Status. The client can then comment and ask questions on their duplicate task at any time allowing you to collaborate.

2. Create a Custom Workflow that outlines that the customer needs to contacted e.g. Status: "Work Complete: Update Client'. This is simply a reminder in the Status that the Customer needs to be contacted. Once contacted you could have the final Status "Completed-  Client contacted".

If anyone else can help Amber out, please share your approach 🙌
