Sharing Data Across Spaces

Wrike allows for sharing a project or folder across spaces based on permissions.  This also means if a project of folder is deleted in one space, its lost in the other as well.  In addition, projects shared across spaces cannot have their own unique custom item types to display different data fields based on the space, at least it did not appear this was possible.

Is there a way to share the content of data from a project or space across to another project in a different space?  Another suggestion would be if you could create a child project under a parent project, the child inherits the information from the parent, but the child can exist on its own with a unique item type, data fields, etc.  Is this possible?

Hello Chris Cashon, thank you for sharing this question with us. When you tag a project with different Spaces, the project remains the same in both locations and all changes made to it, regardless of which Space you're in at the moment of the edits, will be reflected on it. 

You could duplicate the project to avoid this behavior, however, if you do so, you would be creating an identical but different project, meaning: you will have two separate projects. Changes made to one of them won't be reflected on the other project. 

Regarding this phrase "Is there a way to share the content of data from a project or space across to another project in a different space?", would you please elaborate on what you'd like to achieve so I can provide you with an accurate reply? Thank you!

And about this part of your comment: "Another suggestion would be if you could create a child project under a parent project, the child inherits the information from the parent, but the child can exist on its own with a unique item type, data fields, etc.", I'm not completely sure I understand your suggestion correctly, however, I'd like to clarify that if you create a project with a subproject, the subproject will be included in the parent item of the project. A subproject cannot be independent from its parent project.

Thank you for the reply, @....  To your questions:

1.  "Is there a way to share the content of data from a project or space across to another project in a different space?" --> We have two different process for each project we managed in Wrike.  The first (P1) we have setup:  review and implementation.  The second (P2) is after the project is implemented and moves to a steady state.  These two processes require a similar set of basic data (a source of truth).  They also have their own unique fields in order to manage each of these separate processes.  The processes are also run by entirely different teams, some of whom need limited access to information P1 because of the nature of the data.  In addition, the two processes are very different.  For these reasons, it is best they are in separate spaces. In a nutshell, we would like to be able to share basic information across P1 and P2 so the data remains consistent while allowing each process owner to manage their separate processes and unique data fields, views, reports/analytics, etc.

2. A subproject cannot be independent from its parent project. --> Perhaps this is the answer?  This is taking the idea of a project program.  The best example I can give is Vendor Risk Management.  You have a primary vendor profile (project) with basic information.  Underneath are the different subprojects performed on that vendor, which can include a variety of activities.  The idea here is having a way to exchange information across spaces so that data integrity is preserved for the basic information in the primary vendor profile (project).

Chris Cashon That is an interesting workflow, and made me think it would be a nice addition to the automation to have the ability to change Custom Item Types for a Task.  I think that would solve your #1 issue.

Hi!

Was there a way to go about Chris Cashon's suggestion of "Is there a way to share the content of data from a project or space across to another project in a different space?"

What I am trying to do for my team is share the budget costs (actual and estimated) of a project across two spaces. Currently the budget cost is in  space 1 and would like for it to be shown on another space 2 for reference and update on space 2 as it changing in space 1.

I hope that makes and it is something we are able to do!

Can I share tasks from one locked space to another locked space? If the users have access to both 'spaces'?

Thanks for your question! Currently, sharing tasks between two locked spaces is not possible, even if users have access to both spaces.
