Meetings - Possibility to choose Meeting beeing a Folder instead of a task

In our usecase we have regular project meetings but the tasks are in a multifunctional structure with many pre-defined tasks.

Currently, as meetings are tasks, you can only make perma-links for the meeting agenda to the tasks you want to discuss/work with.

The proposal is to be able to create a meeting as folder which would allow to tag tasks for the meeting easily. Simple and quick creation of an agenda, (just walk through your projectlist and tag the tasks which needs to be discussed).
And you can still create new tasks, make notes during the meeting and flag them also to the respective structure in the project structure.

I haven't used the meetings much, but I agree that this would be helpful and less confusing.

Hi Christoph,

Welcome to Community, and thank you for posting this idea! It sounds fresh and I see how it can help teams.

I would be grateful if you could share a bit more so that I have a better understanding of your proposal. How do you envision the workflow when you first create your Meeting folder? Would you create it from the Task you need to discuss? Where would you place this Meeting folder in your folder structure?

Dear Alina

I'm cooperating with Christoph regularly ,he asked me to introduce you the idea.

------

Meeting inside a folder

-----

Classic way of creating:

After such meeting we have 10-20 tasks connected with different fields projects etc. and after a meeting we need to spend an extra time to put everything in a right place ( copy tasks into right task folder projects) , not too efficient i would say

----------------

THE IDEA:

New way would be :

+

So we have task from two different processes in a folder ,than we can smoothly work on all the things from different areas during one meeting, Basically speaking we have created "the agenda" for a planned meeting,

the effect and how we want to work:

------------

------

Invitations inside a meeting

---------

Good idea would be to put the possibility to invite assignees from tasks in a folder in a meeting field .

if you have sub-tasks in a task where you start a meeting you can't invite assignees to sub-tasks too, just general invite users.

we should have such button IF sub-tasks or tasks in a folder have assignees:

----------

---------

Meeting folder Placement:

---------

first of all we divided our wrike environment onto Projects and Departments.

In each of departament or project we have a meeting folder.

now we create task for each meeting and divide tasks after a meeting to dedicated project or department.

if we will create meeting inside the folder we can put the task from few projects inside department internal meeting folder so department manager can work with his team member(s) on tasks assigned to his department and the tasks will be stil inside project workflow.

from the other hand we have project manager and a project folder ,instead of making meeting in each task separately he can choose few tasks for a planned meeting.

Also it will be useful from a work planning if you share with team meeting folder filled with a tasks for this meeting they can prepare to a meeting.

Alina ,  if you find something unclear i will try to help you move it forward

BTW. Thank you for your interest :)

Dear Wrike Team @Alina and @Stephen Orowe

Are you planning to engage Wrike Team more in this solution proposed by Christoph and expanded by me?

At the end of the day it can have significant impact on how my organisation will go with Wrike.

Hi Piotr, we're making sure to share this with our Product Team. We don't have any updates right now (and can't guarantee that something will be worked on) but the screenshots and detailed examples go a long way in being able to have meaningful conversations with the team. If we do have an update to share we will make sure to post here!

We have a similar challenge - we have numerous projects that have been split up into four macro 'goals' for our team in 2018.

We have a bi-weekly project update meeting where we review project status. Meeting notes are logged as a task under a broader Project called Meeting Notes. While meeting notes are helpful, it would be ideal if we could link relevant notes to the Project or task that we're talking about in our meeting. Right now, we have to copy/paste project-specific notes to the specific project.

There surely must be a more elegant way to take information from a cross-project meeting and get into the appropriate folders in Wrike real time (without jumping all over the place during a meeting).

Thanks!

Hi,

Our organization has a somewhat similar issue relating to the multi-task meetings.

For instance, I meet for a weekly check-in with an assistant and follow up on a handful of tasks that they have been working on since we last spoke. In our meeting, we may touch base on 3, 4, 5 different tasks - but do not currently have a way to switch from task to task, when switching agenda item.

One option is creating an agenda like what is described above. For us, it would be helpful to simply be able to meet over entire projects/folders, or to be able to switch to a different task whilst in a meeting (If meeting over projects, we would need the option to browse through the different tasks/subtasks associated with the project to access/edit the description and create new subtasks)

One of my main goals with Wrike is to effectively conduct meetings.  A big piece I am trying to accomplish is the ability to reference both projects and tasks in meetings, as both are talked about.  For now I use a workaround where I use a task for meetings, and subtasks for items that are referenced.  It is about the best solution I have found for running meetings in any project management app, although there are a few things I think that are still missing from Wrike that would make this solution perfect.

I recently posted my method here, I hope you find it useful:
