Add Due Date to Sub-item

I have a request form that generates a marketing project. Within the form, there are several single answer or multiple answer questions that, if selected, add additional sub-items to the project. For example, a question asks 'Do you want us to create a flyer?' and if 'yes' is selected, that is added as a sub-item to the project. There is also a due date question which establishes the due date for all items in the blueprint.

The problem I am facing is that when sub-items are added from the single/multiple answer questions, the due date does not get established. I've tried to find an automation that can do this, or find a way for the form to add the due date to the additional sub-items, but have not found a way. Any suggestions?

Hey John. Happy to see you in the Community! 😊

I tested this out, and here are the steps you can follow to set due dates for created subtasks:

  1. Start by creating blueprints for the project and the subtasks with appropriate durations.
  2. Then, create the project from the project blueprint. Use the reschedule option to adjust the main project based on, for example, the due date of task completion.
  3. For single/multiple answer questions, use the branch option with the relevant choice to create a subtask from the previously created blueprint.
Now, when a new request is created, the dates of the subtasks will automatically adjust according to the main project's due date. Please try this out and let me know if it works for you.

If you have any follow-up questions please feel free to ask!

Hi there -

I'm having the exact same issue John is encountering, where I have subtasks not getting the parent project's date when created from a form submission. I've tried the steps above where I have my form create a project from a blueprint and have rescheduled the dates according to what I need, but my subtasks (created from individual unique blueprints) aren't getting adjusted.

(Dates are completely blank in the subtasks)

When you say in step 1 to create blueprints and subtasks with appropriate durations, are you creating the blueprints with attached subtasks? Or is it a standalone blueprint that doesn't have any subtasks attached. If it's a blueprint with attached subtasks, wouldn't that limit the form-created project to be just the one blueprint's parameters?

I feel like I'm missing something really obvious :(

Hey Brandie Davis! 🙋🏻‍♀️

I explored two different approaches. Let me know if you might have missed a step or if there are any discrepancies at your end.

Scenario One: Setting up a project with existing subtasks:

  • To have the subtasks automatically adjust, you can create a Project Blueprint and include the subtasks.
  • You can then add the project's start and end dates. For example, if your project's dates are December 20 to December 28, and Subtask One is from December 23 to December 25 while Subtask Two is from December 26 to December 28, the subtasks will reschedule automatically based on the project's start date using the "reschedule around" option.

Scenario Two: Adding subtasks based on user input:

  • Set up the main project and subtasks as separate Blueprints, and ensure the start and due dates are correct.
  • Create a question for user input, like "Do you want us to create a flyer?" with options for "Yes" and "No."
  • If "Yes" is selected, use conditional branching to create the subtask using the created Blueprint. This ensures the task is created and rescheduled according to the project’s dates.

Please test this out and let me know if the subtasks are rescheduling as expected. Thank you! 😊

Scenario Two worked! I didn't realize I needed to add dates to each of the subtask blueprints. I felt like it should generate that automagically ;) Thank you Basudha!
