What's the equivalent of a Google Doc in Wrike? I need to share a simple, but continually updated document

Hi, I am new Wrike user. I am looking for the equivalent of Google Doc functionality.

I want to share the ongoing social media calendar with my team. This is a work in process. Currently, I have a simple calendar template in Word that I update with new content as I formulate it. Then, with each new edit, I need to upload it to Write and alert my team with a comment that I've added content. Very cumbersome. Sure, I could edit the original document, but that looks messy in no time, and each edit is shared via a comment as well. Not a solution either. (Or is there a different way of editing a document?)

I'd like the equivalent of a Google Doc, i.e., I set up the original document, send my team the link and editing privileges so that we all could access it, review and add to it in real time without a cumbersome "review" screen.

Why not use Google Doc? Because we don't want to deal with yet another platform, but stay within Wrike to collaborate.

Thoughts?

Thank you.

Why don't you use the calendar? We use that for our social media content planning...

Max, thank you. I would love to know how you do that successfully. Can you share a screenshot?

My attempt to use the calendar backfired. I listed each post for each day and color-coded each for the different social media profiles. Since I manage 4 different profiles with often more than one post per day, the entries began to look very messy in no time. I could no longer make out the difference between social media posts and actual appointments and deadlines. Worse, Wryke interpreted each entry as an all-day task that it kept listing as overdue once the day was over, and it also kept alerting me to apparent conflicts between my all-day social media "appointment" and actual appointments. So I nixed that idea.

But perhaps I was using it wrong. Can you help? Thanks.

Hi Claudia Utley, welcome to the Community! 🙂

First of all, a Wrike task (its description area in particular) can be an equivalent of a Goole Doc because it's possible to edit it together with other members of your team. You could copy the text from your doc to the task description area and edit it, and you could also assign that task to yourself and everyone who needs access to it.

But, I agree with maxmangi that using a Wrike Calendar might be a lot easier and more beneficial. Here's how you can set it up:

1) Create a content folder and add subfolders for different types of content or different social media campaigns:

2) After that, create a calendar:

3) Now that you have a calendar, start creating layers for your content subfolders:

For each layer, choose a smart calendar based on tasks so that all the tasks from that subfolder is displayed on this layer. For task source, choose the subfolder (like "Client1" here).

4) Create a separate layer for each subfolder. After that, you can share the calendar with your team members. You can always change the settings if needed, change the color for the layer, or choose to only display a particular layer:

5) In the end, you should have a content calendar with layers for each subfolder for different clients or content types:

I hope this is helpful! Please let me know if you have any questions, I'll be happy to discuss 🙂

Lisa, thank you, your explanation is super helpful. I have one follow-up question and it relates to sharing the content.

First, this is what I did: I followed each step as outlined above, naming the content folder "Social Media Calendar" and the calendar "Social Media Calendar." Your "client" subfolders became my Facebook, Instagram, Twitter and LinkedIn subfolders, for which I created individual posts and corresponding dates. Those then showed in the Social Media calendar, hallelujah!

Here is the problem: I shared the main folder and calendar with my supervisor and he says he cannot see the content. On the calendar, he sees the left subfolders, but nothing on the actual calendar pages. He only sees the main social media folder on the left, but not the individual subfolders and their content.  Do I have to share each subfolder and each task with him individually? I created both in my personal space, maybe that's the problem. What do I need to do so that each subfolder and task are accessible and editable to him? Thank you.

Thank you for getting back to me Claudia Utley!

Everything should be working correctly when the folder and the calendar are shared, and you said you did both 🤔 The layers are shared automatically when you share the calendar. Did your supervisor check the calendar for its tasks to be displayed on it? (on your screenshot above, your Social Media Calendar is checked on the calendar view, which is why you can see its content). Seems small, but I personally forget to "check" the needed calendar often, especially when I have lots of different calendars on one of my testing accounts 🙂

Lisa, thanks again. I had to move my main folder out of my Personal space into a shared space and then everything was working fine. Thank you.

Your instructions were super helpful, and my team now has a new valuable tool to use. Thank you.

Lisa, this sytem works great and I've been able to organize my posts beautifully, except for one thing: the dates.

Meaning: I've created various folders, titled Facebook, Twitter, LinkedIn, etc, that I populate with tasks, which represent the posts I want to publish, and the dates of when they are supposed to publish or have already published. Sometimes, I update the folder after the fact, i.e., the post has already been published and a day later, I go into Wrike to add it as a task. So far so good. How do I sort the "dates" column that the newest date is at the top and everything lists in reverse chronological order?

If I sort by date, the oldest post shows at the top, see below:

I only have two other date options, date modified and date created, both of which are self-explanatory. Neither produces the desired format. How do I flip the "date" sorting option so that the (publication) dates show in reverse chronological order?

Thank you.

Claudia Utley These are the sorting options that are currently available, as you mention too:

Claudia Utley you could use Table View instead of List View and just hide all the other columns except for Task Name and Date.  Table View allows you to "flip" the sort order on the Date column by clicking on the column header.  i.e:
