Create Projects that are View Only, Cannot be Completed

This would be helpful for multiple use cases. 

For our office, it would be helpful for tutorials and other training materials that we have created for users so that they stay ACTIVE status for everyone and can't be accidentally COMPLETED.

Hi Kelli! If the Projects are being used to house reference materials, maybe Folders would be a better option? Folders don't have a status, start or end dates, and you can't create a Report directly on Folders (but you'll still be able to report on the tasks in that Folder). Let me know what you think!

I just looked at the folders. They are not set up as Projects, they are set as Folders, but the tasks inside are still able to be completed. See attached screen shots. I am open to suggestions if there is a way to make independent tasks that will do the same thing but are not able to be marked complete by accident.

Thanks for the extra information Kelli! I'm sorry, I thought you were talking about marking the actual Project itself as complete. There's no way to restrict rights on who can change a task's status, but there's a release coming soon that may provide a reasonable workaround solution. I'll update you here when I can share more!

Agree with Kelli. As Wrike becomes a "hub" for our project documentation and supporting resources, it would be very helpful to have tasks that stay Active.

@Kelli @Emily We have a new Labs option, fixed and flexible Workflows, that might be interesting for you guys. Admins can "lock down" Workflows so that if a task is in Status A then it can only be changed to Status B/C/D. Essentially you can create a loop so that the task can only be switched to other active statuses. I think that may help, but let me know what you guys think 🙂.

@stephanie Unfortunately this doesn't allow you to delete the Completed status. So at a minimum this would only work for tasks that need to be either active or complete. It doesn't allow me to get rid of the completed status so the task always shows as active, thereby keeping my guides and manuals and training materials always "open"

Hi Kelly, just jumping in here for Stephanie. I understand your feedback on this and that makes a lot of sense.

For now, perhaps, for more control, you could use auto-assign based on Status too. Meaning you could have the Completed status auto-assign the project manager so that they're notified if the task is changed to completed.

I understand it's not exactly what you're suggesting here, but the combination of auto-assign based on status with flexible Workflows may help manage this for now.

Hi Kelli, just wanted to let you know about the new Labs feature of Access Roles which will help with this request. With this new beta feature you can:

  • Change task statuses.
  • Edit task descriptions.
  • Edit task names.
  • Edit task Custom Fields.

You just need to be an admin to activate from the Labs page 👍
