Wrike Proof | Link to proofing-system for guest-users (without account)

Could you please show the proofing-link for guest users (without account) directly in the proofing panel. Why is this important?

Sometimes we want to write normal emails (because the wrike-invitation-text-field does not offer text formating and structuring) eg. in AppleMail or Outlook) ... and include the link to the guest user without wrike account ... this is not possible?

+1 for this usecase

We also have the scenario of guest reviewing multiple files, in different tasks, and would like to collate the links into one email.

The link exists and is added to the email, so it should be a relatively simple UI change on the Guest Review dialog.

Hi Michael Pucher Owen Greenwell, thanks for your feedback!

I've just checked with the team - they view the guest review link as an activation link and they need to keep it secure. For that reason, they aren't planning to work on it for now.

Hi Lisa,

thanks for coming back on this issue. I am a little bit sad to hear this, but security should go first.

Another solution could be to allow us to send a second/third/fourth, ... customizable email (with text-field) to the client when sending a second/third/fourth, ... variation of a design (like the popup on the first invitation mail). This could work as little workaround. There must already be a post on this topic, because I have already left comments there.

If you need me to find the correct post, please let me know!

Michael

Hi Lisa,

I have just looked for this comment too. It's strange that I can't find it anymore ... maybe it has not been approved yet? But wait ... I am just remembering, that I have not posted it here, I have been talking about this for more than an hour very much in detail with your support staff approx 2 weeks ago. He said he understands my issue completely and will forward it to the dev-team. Obviously this hasn't happen up to now ...

Here is the link to download the chat transcript:
https://k00.fr/kc7264uq
Linkl-Password: 797213

I just summarize it again for you
If we send an invitation to a NON-registered guest user, we are greeted with a nice popup, where we can enter email-address, name and a free text (and on right side of the popup download and dates, ...). This is really nice and working fine (besides that we should be able to enter a bcc mail-address).

But if we upload a second version of a file, we ARE NOT ABLE AT ALL (very unfortunately) to send any additional text-details to the client, like eg: Dear client, we have uploaded a second version and we have done this, this and this. Please keep in mind that this, this and this. Please check it by clicking the below button.

As it is now, the client just receives an automated and very unpersonal mail from Wrike, that a new version has been uploaded, but we have ABSOLUTELY no chance to send some additional personal comments to the client.

Now my suggestion would be to allow us, that with every new uploaded version we should be able to send some additional text-details to the client directly out of Wrike-Proof, eg. in the same popup as the initial invitation popup). This would EXTREMELY help us in using Wrike-Proof for project communication with NON-registered guests.

And yes, there is a workaround by uninviting the client and re-inviting the client again ... but ... to be honest ... that's not the smooth Wrike way we all expect and pay for :-).

Why is this solution important in regards to the topic of this post?
With that being said: If we would have the chance to send an additional TEXT-message for newly uploaded versions, we do not need to send additional outlook-mails ... and because of this we do not need the above mentioned Wrike-Proof-link this often!!!

Really hoping that understand this issue from a user's perspective and that you are willing to implement my (or a similar) solution as fast as possible, because it's really a big issue and workflow-killer!!!

Please come back to me if you need any further information ... or take a deeper look at the chat transcript :-)

Best regards

Michael

Can you explain the security argument? It is a link generated on the fly, the recipient gets it and can send it on to other people by forwarding the email or copying the link.

I, as the sender, already have access to the task/files. Who are we protecting by not supplying the URLs when the guest review is created?

Hey Owen Greenwell! Guest review links work as activation links and Wrike has to support their privacy.

Hi Lisa - will this ever change? I have used other proofing tools where you have the option to send an email through the platform, or generate a custom Share by URL link. Like google docs or pretty much any other tool.

The 'activation' response doesn't make sense. The other tools have the user add their email after clicking the custom proof link. Surely that's better for consent/activation than us sending an automated email to literally anyone?

I agree with all the previous posts - being able to craft an email 'properly' that is sent to clients is a deal-breaker. Right now, I am sending myself the guest link email, copying the proof link, and then emailing to the client! My clients don't know what Wrike is, nor should they have to learn why they're getting emails from you.

Maybe there is a business reason why Wrike has limited the features of guest links? Encourage the use of collaborator licenses that they can upsell and market to more?

Thank you for providing a detailed use-case here Pete Gosling! Our Product team is made aware of this feedback, but for now, they don't have such plans. We'll definitely be keeping an eye on this thread and its popularity among the Community, so thank you for bringing this up. Please make sure to "like" the original post by Michael if you haven't yet - the vote count really helps the team understand the need here, as do the comments with more feedback and use-cases 👍

My team is also desperately wanting to be able to generate a link to send to non wrike users so I am +1 for adding this as a feature

I'd like to add my support of this request as well. It would be helpful for our more disorganized clients, to be able to compile the links into one email to help them so they aren't hunting down the various emails that come directly from Wrike. Or if there could be a way to generate a report of pending guest reviews by reviewer address, with links. If it is too cumbersome for our clients to track the review requests, they won't want to use it and we'll have to continue to rely on old fashioned email reviews of PDFs.
I will also echo Michael that we really need the ability to send a custom message with subsequent versions of the file, since there may be some context we need to share with the guest reviewer about what has changed from version to version. Thanks!
