[From Wrike] Mass Edit Custom Field Values in Table View ๐Ÿ“ข

ย
Hi Community!ย ๐Ÿ‘‹
ย
We are very excited to announce the enhancement that many Wrike users have been looking forward to - Custom Field values mass editing in the Table VIew! ๐ŸŽ‰
ย
You can now mass edit cells in the Table view by dragging the needed value (or values) per column.
ย
Hereโ€™s how to do it:
ย
  1. Click the cell in a column you want to fill in. To select several cells in one column, hold your mouse button and drag the cursor down the column, selecting cells as you go. Release your mouse button when you're done.
  2. Click the small square icon in the right corner of the cell(s).
  3. Hold your mouse button and drag the cursor to the needed cell.

Hi guys,

I have the need to update fields that are disparate in my table view, ie not next to each other. ย Generally it's a level of subtasks down in the hierarchy. So I don't want to drag n drop through higher-level tasks and have them pick up the same value. ย

I can hand-select without issue in the List view to allow for this situation, but in that view I can't update custom fields.

Do you have any idea on how I could accomplish this?

Thanks!

Hi Al Sape!

Whenever you mass-edit cells in Table View, these cells are then highlighted and can be copied and pasted. You could drag through the first few, copy the cells when you reach one you don't want to edit, and then paste it into the next one you do and continue mass editing.

Let me know if this helped! If you have any other questions, be sure to let me know.

I've noticed that if I want to delete values in Table view, I have to double click into the individual cells in order to clear it out. So there doesn't seem to be a way to mass delete. Highlighting a cell (whether one or multiple) and using the Delete key does nothing. Can this functionality be added? Deleting values in multiple rows could be time consuming, since each one would have to be done individually.

This table feature is helpful in changing or deleting values from custom fields in the table.ย  I have found that I can highlight the cell, delete the contents and then click and drag the plus sign down (essentially copying an empty or deleted cell) to also "delete" the contents of the following cells in the column. All good.ย  Except that, we have 5000 rows of personal data (contact info) that needs to be deleted from the custom fields.ย  The drag option on the table only works on up to 300 rows at a time.

As a global company, we are required to adhere to international GDPR standards, which means that we must be able to delete contact information (name, email, etc.) of our requestors after 3 years.ย  When you have thousands of entries, we need a fast and easy way to wipe out the values in these custom fields.ย  Deleting the entire field will not work, as we use those fields on every request going forward.

I would like to see the capability to click and drag the field changes on more than 300 rows.

Thanks!

Helloย Michele Mason,

I'd like to point out that deleting the values of custom field's woun't meet any data privacy requirements, as every single entry is stored by wrike's (powerful and fantastic) backup system and can be restored easily by clicking on theย icon in the single task view.

Thanks, Florian - yes, I understand that the data is backed up and could be restored; however, removing it from our general user view is our goal - so it will not show in reports, etc. Most of our users will not be looking at or editing tasks from 2018. I guess I'm a little surprised that Wrike hasn't addressed data privacy issues for global organizations that are required to abide by GDPR and other regulations.ย  Or, if there is a way to permanently remove the personal data, I have not gotten that information from Wrike support. Perhaps we need to remove the entire task and archive the data elsewhere for legal document retention policies.

This alternative way to mass update is incredibly painful and time consuming.ย

feature suggestion (1): allow us to copy and paste table selections in Excel into Wrike's Table views, making sure the sorting order is the same

feature suggestion (2) : allow update from importing files using the key ID

For now, the lack of mass update feature on fields, including the effort and time spent, is one of the reasons why we might not renew our trust in Wrike.ย

Hello, I came across this "mass edit" thread when investigating how to duplicate information in custom fields, which helped, but brought me to think if there was a more automatic way. Is there a way that Wrike can "waterfall" data entered in the custom fields from Folders to the Projects, Tasks, etc? I understand not wanting to waterfall this information every time, but is there a "switch" that can be flipped for specific folders to waterfall information in the custom fields? Or an Automation rule perhaps?ย

Hello Colleen Schmidt, thank you for chiming in! Currently, you can use the rollups to achieve something similar to what you are describing.

About your suggestion involving an automation rule, it is actually possible to change a custom field value based on the trigger "Custom fields changes".

Please, let us know if you have any additional questions!ย

Hi Juan, thank you. After reading through some instructions it seems that the roll up feature only works on fields with Number, Percent, Currency, or Duration types. I am also looking to apply this automation rule to Folders that contain multiple projects. IE - I have a Purchase Order # custom field that I would like to either roll up from Projects to the Folder they appear in, or from the Folder down to Projects, and this field is a text type custom fields.ย  Could you please advise on how I might be able to accomplish this since in the section for "Apply rule to" my only options are Projects or Tasks?
