[From Wrike] Smart Folders are coming to a Personal Space near you!

Update: Smart Folders are now available in your Wrike account!

Hey there!

On October 31, the My Work view will be leaving the Wrike platform. But don’t fret! We’ve got some exciting news that we’re excited to share. We’d like to announce that Smart Folders will be entering the Personal Space to replace the legacy My Work view.

What are Smart Folders you ask?

Smart Folders automatically populate tasks for you, depending on certain properties of the folder. Smart Folders entering Wrike:
  • My to-do: All your assigned tasks appear in this smart folder for you to organize and prioritize as you see fit

  • Created by me: Quickly find all the tasks and requests that you’ve created, even if you’re not assigned to them

Are you ready for Smart Folders? Comment below to let us know what you think! 🙂

I don't get why Wrike doesn't understand that this is bad. My employees are literally preparing to have their primary to-do lists scrambled into a random order, with dozens of extra tasks appearing that weren't there before. As their supervisor, I am pricing out Asana and setting up demos. I can't be having this type of arbitrary disruption to our business processes.

@Dennis you are a life saver! I've just created a free account on Asana and it does have a "My work" like section called "My tasks". It will take time to migrate all my tasks and I will definitly rather not to, but now at least I have a plan B in case Wrike moves forward with this. THANK YOU!

I have looked over the new My To Do List and am not a fan. 🙁

In our line of work, it is crucial to see the clients name next to the step they are on (Some of our tasks are - Review, Assembly, Delivery - Description of the task is= Client name) On the new My To Do list, all I see is Assembly or Delivery (Those are the tasks assigned to me) I need to be able to see each clients name instead of clicking on the assembly/Delivery in order to see the clients name.

How we work is, we call or email the client without clicking on the assembly/delivery to make them aware they are ready. It is another step that we will have to do if the Personal Space remains the current way, which may seem petty, but when you have 1000+ individual tax returns and only 1.5 months to complete them all, every step counts!

I am sure we are not the only ones who see this as being an issue.

Would you PLEASE look into how to add the clients name by the task instead of us having to click to see them??? PLEEZZZE!!!! - Thank you in advance for making this correction!

How can I see Completed My-To-Do's? I reference completed projects constantly to pull information for new projects. Where will this be?

Here's another vote to keep the My Work view!

If the My to-do "smart folder" were to offer all that the features of the current My Work view, and more, it would be one thing. Instead, it removes important features without any way to replace them, which pulls the rug out of numerous customer workflows.

More importantly, the My Work view and the "smart folders" already coexist in the application, so why remove the My Work view without a suitable replacement when so many customers depend on it?

Especially for those of us who receive tasks from multiple projects, we need a place where we can establish a sensible order of tasks and sub-tasks within a given day, week etc. The My Work view fully supports this, allowing users to:

  • Shuffle their tasks AND sub-tasks in a custom order that they can reasonably start chipping away at
  • Shuffle tasks and sub-tasks into a personal order without affecting the order of tasks and sub-tasks in the origin project
  • Arrange tasks and sub-tasks into today, this week, next week, and later without affecting their nominal deadlines

At the time of this post, the above features do not appear to be supported by the My to-do “smart folder or any other one-stop resource. Let’s take a closer look at each of those (missing) features in the My to-do “smart list”:

Shuffle their tasks AND sub-tasks in a custom order that they can reasonably start chipping away at: The My to-do "smart folder" does not support moving anything up and down at the sub-task level. In the default Hierarchical setting, you can sort tasks, but the sub-tasks are coming along for the ride. Okay, fine, so switch to the Plain setting. Sure, it makes all the sub-tasks visible, but you cannot establish any custom order at all. (Browser = Chrome -up to date at version 77.0.3865.90).

Shuffle tasks and sub-tasks into a personal order without affecting the order of tasks and sub-tasks in the origin project: The other advantage to the My Work view is that you can move tasks up and down in that list, planning your day for example, without affecting their order in the project in which they were created. In the My to-do "smart folder", you can move a task up or down, but if you move it above another task from the same project, guess what? Yep, go back to the project where you created the task, and its position relative to the other task has changed there too. Note: I did this test in a project in my personal space, not any of the company public spaces.

Arrange tasks and sub-tasks into today, this week, next week, and later without affecting their nominal deadlines: Lots of comments about that in this thread, so probably no need to go into detail here.

Could the link for My to-do be moved to a more prominent location, like where My Work currently is?

Super upset about this change. I've just trained the team on utilizing that My work tab. The new location is not as convenient.

I'm attempting to use a personal dashboard to replicate MyWork, and it's close but not quite the same. No dragging and dropping, no way to suppress certain tasks from appearing, and the logic of which task appears where is a bit different. Disappointing. I remain very curious about what's motivating this change, and which users were clamoring for it.

Could we perhaps get a "next week" option on dashboard widgets? And an option to show tasks that include today, not just tasks that are due today?

one of the critical issues I see people complaining about here, that no one has put a finger on specifically yet, is Wrike's "sort by" feature in list view.

its actually a combination of grouping functions and sorting functions.

if you use the sort by date view for example,  so you get the today, next week, next month feature etc,    the tasks are actually grouped by date, then sorted in that group by the task "title"

but if you use sort by priority or by title,   it actually functions as a real sort option.

if you could separate the "group by" and "sort by" functions, it'd go a long way to fixing this functionality, but also a massive logic hole in your nomenclature across the board (not just personal tasks), and address some of the complaints here.

I know you have a complicated system and changes must be a pain, but it does seem like that kind of thing should be caught and fixed by now.

you don't need the robustness in this area that something like Airtable has,    but at least separate the functions like they do please 😁

side note,

hopefully give some love soon to the wayyy dated board view. more advanced implimentations of a kanban system are a huge opportunity for better productivity and operations. right click functionality, swimlanes, showing custom field data on the front of the card for example,

the current board view gives dyson a run for their money compared your other views (it sucks) lol.

<3 you all though, I know you'll get there.

I'm not a fan of this change thus far.  The navigation was easier to explain to people when all the different ways they could see groups of tasks that affect them/their teams were in the menu across the top (i.e. Inbox, My Work, Dasboards, Reports.  We were not using personal folders so sticking something in there is either going to confuse people, or cause it not to be used.  Plus I don't see any new features in there in terms of creating subgroups of tasks, filtering or organizing.

What I liked about My Work is that the project names appeared with the tasks; that's no longer the case with Personal Space. The project names aren't visible so you have to select each task bar to find the project. I don't like it! Thank you for allowing me to express myself.

Gigi Grajdura - I TOTALLY agree! I hope they can make a slight change to keep it the same.

Regarding Project Names: I discovered that the Dots Menu (top right) allows you to show folder names. For us, that's the same as project names.

That said, it doesn't help much. The names are in grey boxes to the right of the task title, so your eye has to jump all over the place, struggling to find the project name.

How about simple columns that are sortable by, at the minimum:

- Priority

- Project Name

- Due Date

- Today / This Week / Next Week / Later

My biggest concern at this point is losing the easy access that the My Work tab gives. We have a large number of folders, each with sub-folders and open projects. To have to mouse over to that column and scroll up to see the My To-Do is insanely annoying. Would you consider replacing the My Work link with My To-Do, as well as keeping the link over on the left? That may allow for a more seamless transition. Thanks!

Lisa Our team uses My Work for all of the reasons stated above. The "to do" list is not an adequate replacement. I hope you will reconsider this change.

Second some of the earlier comments - would love for the link for My To-Do to be moved to a more prominent location. On the top bar where "My Work" is would be great. The current location on the left sidebar can get lost when we have multiple lines already open and need to scroll to find it.

The current My Work is vitally important to me as it lets me quickly take stock of what's needed next. If the My To Do doesn't automatically sort jobs in this manner, then this is a serious step in the wrong direction.

Has anyone taken this issue to their respective Account Manager in hopes that he/she could relay the message to their superior that many customers don't want to lose My Work?  Not sure this modus operandi would be the game changer that we all want for keeping My Work but it couldn't hurt.

Corey Herzfeld I will do just that.  If they don't keep the functionality of "my work" within Wrike somehow, it's on to a different platform for my company.

The smart folders are not that high a filtered view ... "My works" instead was a powerful tool for planning the workload, it allows all my collaborators to organize the days based on, not only the priorities set in wrike but also of the office reality.
Do you plan to repurpose this feature for a fee?

Great feature, this (my to-do) smart folder messed up all of my tasks in my personal flow with status "In progress" even they were completed or canceled. I always wanted to recheck my completed tasks and again put "completed" status. Thank you, Wrike for this opportunity. *sarcasm*

"My work" feature is essential for our team to set priorities among literally hundreds of activities from 30to50 different active projects.

I hope you'll leave it as is, or we are considering to migrate to other platforms.

Please, change your mind!

Any further news on this?  I'd like to keep My Work features for our workflows.  Organizing things for personal workflows is so easy in this view.

Corey Herzfeld I talked to my account manager but he seemed much more interested in telling me I was using Wrike incorrectly than in listening to my feedback. He told me that Wrike has hundreds of clients and millions of users and that I was the first one of his clients who had objected to this change. Definitely left me with a bad taste in my mouth.

Dennis Bond  I contacted my account manager yesterday before I left for the day.  He contacted me this morning and seemed very empathetic and told me he'll take the issue to someone above him about our company being able to retain a legacy version of My Work.  I have a call with him tomorrow to go over this issue further.  I get the feeling he's also going to use that time to show me how the new Smart Folders can work to our advantage should we not be able to retain My Work.  But at the end of his email he said something very encouraging, saying his job is to make me happy and assure we get what we want.  We'll see if that ends up holding water!  I'll keep this group updated.

Email to my account manager. Good suggestion whoever said to do this. :)

John,

Can you please help me out here bro. :)

I desperately need you guys in accounts to intercede on the user's behalf.

Did you know that the dev team are planning to retire the My Work view? Not only that, but they are replacing it with some awful smart list, which if anybody really wanted, they could do with custom dashboards. Custom dashboards don't work nicely for replicating a better version of My Work. Believe me, I've tried. Nothing else in Wrike fits or works like My Work.

The way My Work works. or more specifically, the way it actually doesn't work is what makes it so useful. The irony is, the beauty is in the imperfection. Something a nuts and bolts, logic-based dev really just couldn't fathom. Hence this irrational decision.

Don't get me wrong, i know how devs and coders are, OCD bunch of peeps - much like myself. To them, My Work is probably a completely embarrassing piece of work. Some weird hybrid of drag and drop and date based sorting with no real front-facing indicators of what's adhering to date based sorting behind the scenes or drag and drop based priority that the user created. . .The trouble is. . .that it ACTUALLY WORKS! For some reason, the imperfection in that My Work feature is what makes people pay attention, it's put the onus on the user to MANAGE THEIR OWN WORKLOAD how they see fit.

Now i know, there are workarounds . . . but if the dev team are to be honest, this is a pretty stupid decision. Given the overly vocal response from the user base in the forums surely they now know this.

Smart lists, data-based sorting, it's actually terrible. Let the Devs know. . .for some reason, when they created that weird little My Work list - for all it's faults - they created the darling of so many Wrike users. To lose it would be a real tragedy, considering that it's upkeep has probably placed all of no drain on the dev team for years as it simply hasn't changed. . .

Please, I implore you, poll the other accounts you manage. Show you care about this actual problem and get some feedback and please help us reason with the devs and show some sensibility.

You can't sunset a loved and widely used feature if you aren't going replace it with something much better. Why can't we just make My Work that much better?

I hope you can help.

Warmest,

Christian

Here's an idea: Can you NOT get rid of the My Work tab?

Can someone from Wrike tell us why there is a need to remove it?

This is the only sorting tool I use in Wrike. In fact, it is the only tool I NEED in Wrike. To remove it would be to take away a crucial part of how I prioritize and sort my work in Wrike.
