Searching for specific tasks in timesheet
We have projects with specific job names and titles, but use blueprint tasks within them (things like Admin, Copy, Design, etc.). In the Timesheet, I sometimes need to add a task that isn't pre-filled so when I click Add Task and then search for a task titled "Admin" for example, I get a million results. When I add the job # to the search along with Admin, I was hoping the search would be able to find the right Admin task, but it doesn't.
Would it be possible to make an improvement to the search function so that if I typed "Admin" + "Job#" the most relevant results would bump to the top? Maybe even with helper text below with the title of the project it is within? That would be incredibly helpful for my team to log time within the Timesheets view. In the meantime we are manually renaming tasks to include the project numbers. Thanks!
Hello Heather McCoy, thank you for bringing this to us. May I ask if adding a prefix to your items when creating from a blueprint would be helpful in your case?
This way, it would be easier to differentiate the tasks with a similar title.
Looking forward to your reply!
Hi Juan! I have considered utilizing my blueprints, but trying to figure out how best to implement this. We currently have project blueprints set up which have some helper notes in the Project Description area as well as the appropriate tasks within it. I'm setting up a Project Request Form so our team can submit their projects that way, capture some pertinent custom field info, and then based on their selections it will create a project from the appropriate project blueprint, containing all the tasks we need. When our team submits those requests they go into an Intake folder for our production team to assign and schedule tasks. Verifying the project # is part of our intake process so we don't have that info to set a prefix until the project is set up.
The only thing I've been able to do is add a Blueprint project within the initial project which contains the tasks I am looking for. I haven't found a way to add just the set of tasks into an existing project, but maybe I'm missing something. If you have any intel on adding the tasks with a prefix after the fact, please share!
Hi Heather McCoy, thank you for your reply. It is possible to add tasks to projects via request forms, based on the users' replies:
Here is how you can achieve this.
Also, in order to add prefixes to items already created, an automation rule could be set up or you can duplicate the items and choose the option to add the necessary prefixes.
In this case, it would be necessary to delete the original items so that you don't have duplicates.
Please, if you have any additional questions, we're here to help 👍
Thanks for the info, Juan! I'm not sure all of these will apply to my use case since I'm hoping to pull in the blueprint tasks at the time of the request form submission, but then add the prefixes later after the intake process and job # has been determined. I do see that you can add a prefix when duplicating a task, but if having to duplicate each task individually it would take the same amount of time as just renaming each task. Is there a way to mass-duplicate tasks? I can only seem to mass edit dates and statuses but not duplicate or add prefixes on a mass selection. Thanks!
Hi Heather McCoy, thank you for your reply. In order to duplicate multiple tasks at the same time, it would be necessary to first include them in a project or folder first and then duplicate this project/folder.
Would that work for you?
