Using a Request Form to Start an Event Plan

I couldn't find anything recent that answered this so looking for advice. I'm supporting my events team as they are trying to move to using Wrike for our organizations event planning. We host many events throughout the year both virtual and in person and the idea of blueprints and request forms being able to replace surveys, word documents, emails, and more is very exciting to the team.

I took their existing survey form and put it into Wrike as a request form. Now I'm going to try to connect it to the blueprint I created from their existing project plan. Something I was hoping to do was somehow connect the event date (given in the form) to a milestone or task for hosting the event. That way, I could use dependencies in the blueprint to build out the project timeline based on the planned timeframes. Event planners know these things rarely go as planned but it would be nice to have this as a starting point.

Right now my team uses an Excel spreadsheet that has formulas built in so they are able to drop the event date into one cell and the rest of the sheets fill out automatically with the idealized timeline.

Any help is appreciated.

Eric Fiero There's probably something with the blueprints rescheduling. If you have a question set the due date of the project (maybe that's the event date), then you should be able to align with the last task's due date. I haven't tested this, and am guessing at the functionality as this is different than how I'm using it. I'm using the blueprints to create a corrective action request that aligns with the start date specified.

@... - Am I close with this one? How does this feature work?

Mike Fank I was going to do that but we have some tasks for after the event is complete so I didn't want the "Due Date" to be set as the event date. I think this particular case might not be possible.

Hello Eric Fiero, thank you for sharing your questions with the Community. As usual, Mike Fank is totally right 🙂

In this case, as illustrated in the screenshot shared by Milke, you can align the dates of your project with the start date of your first task start date - this way, the tasks that need to be completed after the event is over wouldn't be affected.

If this option does not work for you, please feel free to share more details about your case so we can think of a potential solution for it.

Thank you!

This indeed is helpful. We can do that. The issue my event team had with that is that event plans with our organization are rarely the same total time frame, so the one date we KNOW when we start planning is the event date. I was hoping to be able to create a milestone this way. Seems like that won't be possible. It's not a huge issue to change an existing task after creating the project, just figured I would try to see where I can cut steps out.
