[Status: Released ๐] Completed projects
CompletadaIs there any other way to remove projects from the projects list without deleting them or moving them to an archive folder?
As we have 5 levels in projects we should ceate an archive folder per level which resultst in over 100 archive folders.
We also would like this functionality, our wrike work-space is starting to get hard to manage due to the inability to hide projects from the left side-bar panel.
yes alo a need. to move manually stuff is cometimes complex allmost writing a manual on how to work in wrike for each discipline
really needed just like to filter you task list from all active.. to all active folders
also i think you need to beable to determine then a folder in a role. so you make a dedicated use case for folders
I agree, this option would be very helpful!ย Here's how I imagine it working:
ย
1. Change Project status to completed (or right-click project to mark completed)
2. If there are any unfinished tasks in the project, a dialog box comes up with a list of tasks,ย allowing you to edit tasks or simply mark all tasks completed
3. Once the project is marked completed, it disappears from the folder (archived)
4. View options/filtersย can be changed in folders and projects to see archived projects & tasks

Hi all, I'm the Product Manager for this functionality.
As one of our steps to add more value to Projects, we decided to resolve the issue raised in the topic: visibility of completed Projects in our Folders/Projects Tree.
Right now we are working on a Folder/Project tree that will allow you to filter out completed and canceled Projects. In terms of an ETA, hopefully, we'll release the filterย near the end of March 2018 or even earlier.
Later, we'll think about the ability to filter out completed/canceled Projects from the Table View, Workload, Timeline etc, but we have no estimated timeframe on this yet. Once we do we'll update you here. Thank you all for your continued input here.
Thanks Yury. The project tree filter will be a great help in working with projects over the long term. I'm happy we'll see it fairly soon. Great work.
Just one comment while you're working on this. I think the filter needs to be 'sticky'. In other words if I have the filter on, it should stay on until I turn it off. I don't want to have to set the filter each time I log in.
@Rob This is exactly how the filter will work: it will remember its state until you change it.
Yury, It's great to see Wrike taking action on this critical shortcoming of the current functionality.ย The short term solution for the folder tree will address one of the bigger pain points for those of us who have massive and complex folder structures, and the sticky factor is significant.ย Please do proceed with the longer term solution regarding the various views, as evaluating the overall project portfolio we need additional details available only in the table (or other views).ย Thanks, Clair

Just to clarify on the anticipated feature. ย If we hide Complete Projects from theย Folder/ProjectsTree; but then click on a top level folder with multiple projects Active/Completed under it. ย ย We then look at the table view. ย Even if the projects don't show up the left-hand side tree as they are currently filtered out; ย they will still be visible in the table.
Is that correct?

If there are folders where all projects within the folder are completed. ย Is the plan to make that folder invisible as well or will it just show as an empty folder.ย

Regarding your first statement โ yes, that's correct (however, we have further plans in this direction).
Talking about the idea to hideย a Folderย which onlyย contains filtered out Projects โ at the moment we have no such plans,ย the Folder will be displayed as an "empty" Folder.
@Everyone I'm so excited to let you know that Yury and the team released the option to filter Projects! You can see all Projects or filter out completed and/or Projects. To filter Projects: just click the filter icon to the left of the "filter" field at the top of the Folder tree.ย

Thank you for the new filter for hiding Completed/Cancelled Projects from Project/folder tree!
We agree that this feature is the first step in the roadmap to complete the functionality of "archiving projects" within Wrike.
We would like to point out that this new feature may confuse non experienced users because it may generate "inconsistent" views between Project/Folder tree and the contents of List view, Table view and Timeline view. As of today, these views do not have into account the new filter (applied only to project/folder tree) and continue displaying completed projects/folders that are not displayed in the project/folder tree.
In order to avoid misunderstandings, we encourage Wrike Team to continue with the final step as promised in your post

Just an additional remark for the next step for Archiving Projects and filtering them out form List View, Table View, Timeline, etc,
I think it could be interesting the addition of the following automation when changing the status of a project:
- If someone changes the status of a project to Completed or Cancelled, an automation should check if there areย any task/subtask active within the project and its subfolders, and then pop up a message requesting the user to confirm that all active and deferred tasks within the project will automatically be cancelled (because they were not done at the moment of changing the status of the project to complete). If the user confirms the action, then all the active tasks should be cancelled. Otherwise, if the user does not confirm the action, then the project status can not be changed to completed/cancelled.
- In addition, when a project is completed or cancelled, there should be a sort of "read-only" status for all the tasks belonging to the project completed and its subfolders. If someone need to change a task belonging to a completed/cancelled project, ie.: changing status, edit description, re-schedule, make a comment...etc,ย Wrike should pop up a message informing that the task is read-only because it belongs to a complete/cancelled project, and inform that in order to be able to make such change to the task, the project needs to be "re-activated" first.
I think this "read-only" protection to tasks belonging to completed projects would help users to keep things clear: if a project is active, then tasks belonging to it can be edited, re-scheduled, changed statuses... but if the project is completed, then everything belonging to it is read-only and statuses of the tasks cannot be modified until the project is reactivated.

The filters for Folder tree does not work for us effectively until we can use same filter on those Views.

The suggested way of making a duplicate folder structure for Archive and moving projects across, is aย terribleย workflow!ย Pleaseย prioritizeย the work on the more permanent solution of "Archiving" a project in its existing position. Right now the project and all its tasks/subfolders are still visible and searchable, even though its completed and filtered in the project tree.
Aย temporary workaroundย would be to make the filtering option work properly throughout, so that Completed projects and subtasks can be hidden from all views and searches.

It's not a option to do an extra folder for complete projects.

Any update on this? ย It's been seven months since initial release. ย It's unusable until it fully effects the filtering of all other lists, charts, tables, etc. ย This is marked as completed/released; but it's not yet. ย The way it is now; is not any help or change to how we do things.ย

Wrike lacking this feature showcases how Wrike is really just a great Task Management Tool that tries to throw in Project Management as well. If Wrike wants to compete with other PM tools they need this feature. It's absurd for us to manually move completed tasks (or projects) out of the main folder when it would be extremely easy for Wrike to implement a feature that says:
If xTask in xFolder has been completed for xDays or at xDate (like theย end of the month) move completed task from xFolder to x[Archive]Folder. This would be extremely easy to implement. The same could be done for Projects.ย
Let us decideย when and where completed tasks in a folder need to be moved. It's really very simple and I bet the API could do this now if someone wanted to take the time, but it should be a core feature.ย ย

In my opinion, moving completed projects to a different branch is not the proper "Wrike way" to archive projects and tasks.
Provided that Wrike has the statuses of tasks and projects, I think that the Archiving issue of completed tasks and projects should be addressed via statuses.

I think that Wrike should endeavour to complete the set of filters released for completed projects in a way that the filter set affected also all the other views of Wrike, for projects and the tasks belonging to the projects (list view, table view, Gannt view, Scrum...), not only on the folder/project tree.
In this way, the behavior of the filters would be consistent in all the views of Wrike, and it would not be necessary to move completed projects to another branch for archiving purposes.

I don't think filtering out completed projects is going to help unless you can also filter them out of everything... reports, views, tables, etc. Right now I have to move all of my completed projects and tasks out of their folders manually because I have reports that look at totals in each folder.

You need a way to set an "archive" status for a project, that completely hides the project and its subtasks in all possible workflows. Completed projects you may still want to be visible for a while, before it is archived.
Agree with the above comments. Having a project archiving system like Asana or Hive does would work better instead of us having to manually move the project to a different folder we have to create for archiving.
Agreed with all of the above. We're slowly accumulating computed projects/folders and moving or archiving them tends to set off permissions/e-mail notifications if I "archive" it to a folder that everyone doesn't have.ย
