Filtering Report by Old Custom Field Value

My team had to update a value in a dropdown custom field. We recently tried to run a report for a project that uses the modified custom field and noticed that in the default state of the report we see tasks with the “old” and “new” version of the custom field value displayed.

At first that seem fine because it preserves the "old" custom field value on the old tasks and the new tasks created after the change are using the "new" value. However, when we try to apply filters to the report, we see that the filter options only allow us to select by the “new” value. Even if we select the “new” value, the tasks with the “old” value are excluded.

So is there no way to filter reports by the “old” custom field value once it's been changed?

Hi Albert Nera, welcome to the Community! While deleted custom field values remain visible in the tasks, it's not possible to use them as filters anymore because they are not stored in the database as active. Moreover, any report that had a filter or grouping by the deleted custom field value will be changed (tasks with the deleted value will disappear from the report).

With that being said, there are several workarounds that you may want to try:

  • re-add the same 'old' value to the Custom field;
  • copy the 'old' Custom field value to the task description and change the current Custom field value to one of the new ones;
  • filter the tasks by another parameter (status, another custom field).

Thanks Lisa for the explanation.

Our team did some testing and discussed our options. For our use case we ended up changing the value in our dropdown custom field and then updated all of our tasks (active and completed) to use the new value as well. This resolved our Report filtering issue because now if we select the "new" updated value as a filter it will include ALL tasks. If we did not retroactively update the value on current and old tasks, those tasks would have been excluded when filtering.
