We keep project and task workflow separate so we can report on them separately and allows us to have multiple stages open on a project as some departments/groups move at different paces.

We try to keep our workflows pretty simple but we do have a couple of different workflows based on very specific types of work. Our general Project and Task workflow are below. We are debating a small change in the project workflow to differentiate between the creative review and strategist review but not every project requires both so we're in some level of discovery on the value of that change.

 

 

We also have a couple of specialized workflows for very specific types of projects, like our annual product catalog:

We have struggled finding a benefit of Canceled and an adoption of cross organizational project workflows into the Marketing world.

We have many, even though we are not a marketing or a project managing company, here are some workflows that we use for our internal processes. 

Bill Tracker/Work Expense tracking. 

We use this to track the process of our files that we need to keep. 

For our maintenance requests

Hi everybody!  To minimize the number of discrete tasks, we've used workflow statuses and approvals to initiate new steps in the development process.  For example, with packaging design, we have early review steps and well as 2 approval steps to engage the correct team members for responsibility and accountability.

 

Another example is our product design workflow which uses 3 approval steps.  The first initiates the Design Verification Testing, and the remainder ensure all appropriate parties have reviewed all documentation prior to production release of the drawings.

 

Once we've pushed our design into tooling, we have another workflow that helps us keep close track of the status and approval of the finished, tooled parts.

Hi everyone! My team is an internal video team, and these are the two main workflows we use:

 

We used to have much more statuses - intake call, gathering elements, shot lists, etc. - but determined that these statuses can call fall underneath "Planning" for simplifying. We also chose to put "Out for Review" as an active status so the team doesn't lose track of projects that we are awaiting feedback on.

Hey colleagues,

I love all the workflow sharing -- one thing I'm wrestling with is the ability to give collaborators a heads up. I'd like to keep discrete tasks to a minimum and use workflow statuses to indicate progress, but I'm running into a challenge:

For example, I have a deliverable that requires copywriting, revision, design, and operations scheduling. The designer and ops collaborators are downstream on this task and are unable to anticipate easily when they need to clear bandwidth for an incoming task. The deliverable may take 3 days or 10 days to hit design and scheduling and they won't see it as upcoming until the status is updated.

Any tips? Thanks!

Using the new automation to do an @mention comment letting certain groups or individuals know that work is coming when they are one or two status updates away from the work hitting their inbox.
