Notifications when there are Request Form issues
Hi team,
I'd like to recommend that admins get notified the moment there is a break in a request form, i.e. deleted folder/item.
I'm sliding into the Product Feedback thread this December with a situation that I'm sure most admins have come across before:
Say you are working on some request forms and you happen to access the back-end of one. Suddenly, you're pulled down to a question with a red border around the whole question box - an issue! Turns out, one of the question's answers is tied to a cross-tag automation and the folder it's meant to tag to has been deleted! You go on an adventure through the recycle bin; you're not quite sure what the folder is supposed to be (say it's an unfamiliar form/folder), so you spend your afternoon asking around until you finally bring it back and restore it. Folder deletions can happen accidentally or intentionally (in the case of the latter, deleters often don't realize that the folder was tied to a request form).
Now, as an admin, I don't want to gatekeep the ability to delete work and restrict people's permissions, but I do think it's important that folks realize that there are repercussions to deleting something and that a quick deletion can cause a ton of time to resolve.
Some ideas:
- (At the very least) Notify admins when there is a break in a request form - This could be a Wrike Inbox notification (and email if enabled) to simply mention that a folder, blueprint, etc. has been deleted and caused a break in the form.
- Warning to deleter when trying to delete an item that is tied to a request form (or other tool/feature) - This could be a message in the Delete this? pop-up that states what it's tied to.
- Allow admins to block users from deleting items that are tied to a request form (or other tool/feature) - This would ensure that any standalone items can easily be deleted, but that if it's tied to something bigger like a request form, it doesn't allow the user to delete the item and instead asks them to contact an admin.
- In the Request forms settings list, have a column for "Issues" - show us at a glance how many issues/breaks are present in each request form.
- Show a message when using a Request Form that there is a potential issue within the form - Could be a very obvious red banner or something similar to state that the user can still fill out the form but there is an issue and should report it.
- Block a request form from being filled in + show issue message - This way, users cannot use the form until the issue(s) is/are fixed and that way users are more likely to report the issue to their admin vs. just showing a message.
While I did offer other ideas, I think it would be necessary to at least notify admins when there is a break in a request form. The situation described above has happened tooooooo many times, and oftentimes the issue of a broken request form cross-tagging persists for months until we realize by fluke and by being in the request form settings that there's something like a deleted folder.
Anna Giacobbe I hadn't even thought of this being an issue. Good to know!
I agree just a simple notification to the Admins if something in a form breaks would be very helpful.
Great suggestions, Anna Giacobbe! I’ll definitely pass them on to our product team for consideration. I agree that it's essential to notify admins about breaks in request forms, particularly given how often you’ve encountered this issue and how long they can go unnoticed. Thank you for bringing this to our attention! 👍🏽
