[Status: Backburner ⌛️] Custom Item Type | Converting Space Types to Account Types

I'd LOVE to see Wrike update the Custom Item Type Feature to allow space item types to be converted into account item types. I've created space custom item types that, as our account has grown, need to be accessible throughout multiple spaces. And we would love to be able to pull all of that data into a separate space that our executives have access to.

We are new to Wrike and building our platform. I am very surprised we can not do this. We have created a custom item type that we now know needs to be at account level instead of space level. Now we are going to have to go back and make all kinds of changes. Unless someone can let me know how else to approach this.

Hey Scott Isaacs 👋 I'm stepping in for Lisa. Thank you for referencing another similar feedback suggestion. Currently, every feedback post submitted by our Community members is forwarded to the Product Team for their visibility. Once a post gains a minimum of 60 upvotes, it helps us determine to add a relevant status to the suggestion. While it's not possible to merge posts at this time, and we account for upvotes from the specific post, rest assured that we are aware of similar suggestions and all comments are passed along to the team.
 
Daisy Hibbard, Vanessa Spicer, thank you both for adding your feedback. As of today, there is no direct method to convert a space-level custom item type to an account-wide custom item type. Custom item types are specific to the level they were created in, and the scope cannot be changed directly.

If you would like to create an account-wide custom item type, you need to do so from your profile settings. Here are the steps:
1. Click your profile image in the upper-right corner of the workspace.
2. Select 'Settings'.
3. Click 'Custom item types' in the panel on the left. You may need to scroll down to see it.

This is something I would be really interested in doing too. We have built up a lot of space-level item types that I would much rather convert to account-level item types than have to rebuild again.

Would be very helpful, especially since ours are connected to automations and are used for live projects. Therefore, recreating them would be a massive headache. Would be great if I could 'upgrade' a custom item to being accessible account-wide, similar to Workflows.

I just noticed that Molly’s proposal received 60 upvotes—so exciting to see such strong support! Could you share what the next steps are?

My team is especially interested, as we’re in the process of restructuring about 12 spaces that currently use their own specific space custom item types. We’re aiming to standardize custom item types across the account, so that instead of each space having its own “Presentation” item type, we can use a single, shared item type to track presentations organization-wide.

We need this. Had we realized this, we would have made all of our custom item types at the account level. We have one space where we receive in all of our requests, but they are tagged into other spaces based on responses from the form. I need automations in the other spaces for these custom item types, but since we made the item type in the request intake space, we can't. Writing the automations in the request intake space isn't ideal since the automation will be slightly different based on which of the other spaces the request is tagged in.

For Account Admins who are curious what the steps look like to recreate Space-only custom item types as Account versions, here was my process:

1) Add "(old)" or something to the end of the custom item type name to indicate that's the one you're getting rid of.

2) Create the new Account version of the same custom item type. (I had two tabs open so I could copy/paste the description and mimic the entire setup.)

  • Note: I had two Space-level custom fields I had to convert to Account-level so I could add them to the new custom item type.

3) Go to the "Space overview" page where your old custom item type lives and use Table view. Filter by the old custom item type. (I didn't apply statuses so I could update every instance.)

4) Use bulk edit to select everything that needs to be changed and convert over to the new Account version of the custom item type.

5) Update impacted Dashboards.

6) Update impacted custom views.

7) Delete the old custom item type.

This took me almost an hour to update two custom item types (about 800 instances between the two in our account).

Also looking for an update on this topic! We archive historical projects annually as a new read-only space, as this is the only way to make it unchangeable. This historically worked, but there seems to be a change in the back end where now custom item types do not carry over to the new space. I am needing to change all of my items from space specific to account-wide, which is a bit of a nightmare for year-end.
